    Job Summary and Qualifications

    The Case Management Dept. Secretary is responsible for providing support and assistance to the Director of Case Management, Manager of Case Management and the Case Management Department staff and is primarily responsible to coordinate the front office functions. Provides administrative support, data processing and integration of financial, medical staff and records data as a case management function. Responsibilities include handling incoming and outgoing department calls; coordinating schedules for meetings and events; taking minutes in staff meetings, assisting in special projects; ordering and maintaining office supplies; and interfacing with internal and external vendors. Responsible for timely processing of all departmental invoices. This position ensures the effective functioning and coordination of the main Case M Management office which serves as the entry point of patients, families, physicians and other customers and community representatives. This role includes ensuring that information is consistent and accurate in various computer programs, coordinating the information with various personnel and supporting the functions of Case Management to support the Case Management staff to support various hospital functions.

    • Consistently assists the director and manager with administrative support and/or clerical duties and consistently assists in Case Management special activities and ensures efficient functioning of departmental front office activities.
    • Consistently proficient in accessing and utilizing CM programs, Word, Excel, PowerPoint, and serves as a source of assistance to department staff. Consistently demonstrates excellent business office management skills and abilities.
    • Consistently records and transcribes minutes for the Case Management departmental staff meetings in a timely manner. Consistently maintains departmental files and adheres to file maintenance and records retention schedules.
    • Consistently assists others in resolving issues presented by callers and/or visitors and effectively refers to the appropriate staff for follow up. Acts a a role model by demonstrating effective communication. Problem solves and screens phone calls, requests and staffing concerns.
    • Organizes and prioritizes needs and activities based upon the hospital 'strategy and develops an implements a daily work plan. Manages time autonomously, follows through on assignments and meets deadlines. Is aware of the needs of the department and assists as needed to meet deadlines or improve work flow.
    • Consistently arranges for the accurate and timely payment of departmental invoices and other disbursements. Maintains control of the budget supplies and orders appropriately being mindful of the departmental budget limits.
    • Demonstrates the ability to manage information including changes and/or instructions in a clear and timely fashion to appropriate CM staff or other hospital departments. Consistently communicates effectively verbally and/or in writing at all levels of the organization as required by job duties.
    • Coordinate and maintain the community log of agencies for licensure, contact information. Works closely with staff to keep updated managed care company contacts and community resource referral list.
    • Reinforces the vendor screening policy with outside agencies. Communicates accurate information regarding the organizational policy on solicitation and access to patient information.
    • As applicable inputs data for the approval process for Medicaid mother and baby admissions to the hospital for reimbursement. Obtains verification of the authorization in Medicaid system and documents the authorization in the required computer data entry fields.
    • Assists the Director and Supervisor with maintaining accurate productivity information in PLUS on a daily basis. Assists Director to establish new staff department files and maintaining staff files.
    • Proficient in managing Information Technology needs for the department: Problem solving equipment issues, staff access issues, sign on process. Is able to run daily reports necessary for department needs from all systems.
    • Coordinate and trending the Medicare BFCC-QIO appeal process by tracking the number of appeals, providing assistance in sending the appeal information to Medicare BFCC-QIO., notifies the Nurse Case Manager or Social Worker of the appeal request.
    • Disseminate information requests from PAD, PAS, while protecting information in a confidential manner. Communicates denial or carve information to the PAD.
    • Coordinates with the Physician Advisor (or assigned UR Committee physicians) the required physician notification of regulatory billing (eg Part B) and Code 44 process. Maintains accurate files and facilitates the notification to the physician. Additionally assists the Physician Advisor as needed for letter writing, reports and other required needs.
    • Performs other duties as assigned.
    • Practices and adheres to the "Code of Conduct" and "Mission and Value Statement."

    What qualifications you will need:

    • High School Diploma or equivalent preferred
    • Associates / Technical preferred
    • 3-5 years Health Care Setting preferred
    • Previous secretarial experience required
