- Manage the life cycle of physical and electronic information from creation, archival and destruction.
- Oversee and coordinate efforts to maintain physical files in good condition and proper location, retrieval and refiling of files, organization of client files, and modifying status of files in the electronic records management system.
- Perform tasks associated with incoming and outgoing electronic and physical files, including lateral and departing attorneys, scheduling preparation, data entry, reconciliation or inventory.
- Prepare and properly retain accurate documentation relative to transfers and compliance activities.
- Assist with maintenance of vital Firm and client documents in the Firm's escrow vault.
- Assist the IG Compliance team with reducing risk exposure through keyword searches, legal holds, and management of electronic signature platforms.
- Oversee and coordinate efforts to maintain electronic copies of physical files through scanning.
- Coordinate updates to files and information due to matter and docket changes.
- Assist in testing of document management systems.
- Gather, correlate, and analyze abnormalities of metrics for information governance and cyber security including building and maintaining information governance dashboards.
- Maintain and process alerts from threat intelligence systems - iManage Threat Manager and Varonis.
- As a member of the Threat Hunting Team, search logs and investigate alerts regarding potential threats to information stored or processed by the Firm. This will be conducted under the direction of the Firm's IS Cyber Security team and IS Lead Incident Response Analyst.
- Perform tasks regarding account, identity, and access management as it relates to new employee account creation, title changes, and employee departures.
- Maintain and administer the Firm's records management system and tools/processes regarding file disposition.
- Perform tasks regarding account, identity, and access management as it relates to cloud platforms such as M365, Google, etc.
- Conduct regular audits of employee access rights to ensure the principal of least access is adhered to and information is only accessible to those with a need-to-know status.
- Manage the life cycle of electronic information associated with departed users.
- All other duties as assigned or required.
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other Firm applications
- Available to work overtime, as required
- 2+ years of experience in a directly related role (e.g., information governance, records management)
- Experience and demonstrated proficiency with one or more RMS (e.g., HP/Autonomy IRM, ARM or FileSurf, LegalKey, etc.) and/or DMS (e.g., iManage, Docs Open, etc.) enterprise technology systems used for the management of physical and/or electronic information
- Ability to conduct audits and search through log information
- Willingness to maintain continuing education and training specific to professional skills development commensurate with records and information management industry and responsibilities of position
- Required to participate in a 7x24 on-call rotation
- Bachelor's degree
- Experience with scanning technologies and directory services tools such as Active Directory
- Experience with collaboration platforms such as M365, Google, or Box
- Experience with Tableau and threat hunting tools such as Varonis, and iManage Threat Manager
- Exceptional customer service skills

Cooley is seeking a part-time Information Governance Steward Non-Employee Service Provider (NESP) to join the IS/Information Governance ("IG") team.
Position summary: Cooley Information Governance (IG) embraces a culture of customer service excellence, and all members of the department are expected to move this agenda forward. To that end, the IG Information Governance Steward is expected to recognize that the Cooley IG department is a service organization first and foremost and will be evaluated on this requirement equal in importance to the technical or operational responsibilities outlined later in this document.
The Information Governance Steward is responsible for and will coordinate processes governing the life cycle, security, auditing, and disposition of physical and electronic information maintained by the firm as dictated by the firms Risk Management, Information Governance, and Information Security policies, procedures, and guidelines. Specific duties and responsibilities include, but are not limited to, the following:
