    Assistant Director of Events
    University of Massachusetts Amherst

    The Assistant Director of Events is responsible for assisting and supporting the overall work of Events Management. This includes managing the daily operations and administration of the Robsham Visitors Center. They provide public resources and excellent customer service to ensure that all visitors to UMass Amherst, in person or virtually, have a positive experience.

    Responsibilities:
    50% - Assist and support the overall work of Enrollment Event Management

    • Assist and support the design, plan, implementation, and execution of a wide range of events including open houses, yield events, receptions and special events.
    • Coordinate and schedule students to staff spring and fall events, regular and special campus tours, the Visitors Center, and information sessions.
    • Ensure all events, information sessions and tours are listed and updated in Slate CRM.
    • Coordinate use of campus event spaces used by Enrollment Management for information sessions or other events; use discretion regarding requests for use by other campus departments.

    40% - Provide executive management of the Visitors Center

    • Provide excellent customer service and professionalism to visitors on the phone, through email, and on the UMass Amherst campus.
    • Manage the undergraduate visitors center student program; to include recruitment, hiring, training and mentoring of 50+ students as tour guides.
    • Manage the administrative functions of the Visitors Center, including facility maintenance, office supplies, computer equipment, and student payroll, etc.
    • Provide performance reviews and support skill development for student employees.
    • Collaborate with the Associate Director of Events to ensure the Visitors Center website is updated regarding tours, area information, traffic updates, etc.
    • Maintain Visitors Center usage statistics and prepare reports.
    • Compile, develop and maintain inventory of informational materials, maps, etc. Interact with external agencies (e.g., Chamber of Commerce, area colleges, etc.) as needed.

    Other Functions

    • Keep abreast of pertinent developments at the university, in higher education and in the field of professional admissions events management including recruitment, Visitors Center, tours, information sessions and yield events.
    • Performs other duties as assigned.

    Minimum Qualifications:

    • Bachelor's degree in business, communications, marketing, or in a relevant field.
    • Three years of progressively responsible experience in admissions counseling; in event management or public relations.
    • Three years customer service management and training experience.
    • Ability to exercise sound judgement to prioritize goals and to work effectively and collaboratively with students, staff and leadership.
    • Excellent organizational, analytical, and interpersonal skills and the ability to manage competing priorities while exhibiting professionalism and a commitment to teamwork.
    • Ability to use technology (Word, Excel, and PowerPoint) to make presentations, analyze data.
    • Proficient with video conferencing platforms and video conferencing professional best practices.
    • Sensitivity to multicultural and socioeconomic issues.
    • Must be available and willing to work a varied schedule, including evening/weekend work; some event travel may be required.
    • Valid driver's license and proof of insurability plus the ability to obtain a university credit card.

    Preferred Qualifications:

    • Prior experience working in a large public research university.
    • Demonstrated competency in analyzing data and translating goals into successful operating plans.
    • Previous experience with a CRM (Slate, Salesforce).
    • Bilingual ability.

    Work Schedule
    M-F 8:30 to 5:00P.M. Some evening and weekend work required as needed.
