Job Overview
We are seeking a highly organized, polished, and proactive Executive Assistant to join our growing investment firm. This pivotal in-person role will directly support senior leadership by managing executive workflow, coordinating investor-facing communications, and ensuring seamless day-to-day operations.
The ideal candidate thrives in fast-paced environments, exercises sound judgment, and anticipates needs before they arise. This is a high-accountability position with strong growth potential within the financial sector.
Key ResponsibilitiesExecutive & Calendar Management
- Manage complex executive calendars across investors, partners, and vendors
- Coordinate meetings, diligence calls, and strategic sessions
- Prioritize scheduling requests and protect executive time
- Prepare detailed travel itineraries and manage logistics
Communication & Correspondence
- Draft, proofread, and format professional correspondence and investor communications
- Monitor executive inbox and flag time-sensitive matters
- Prepare meeting materials, agendas, and follow-up summaries
- Maintain professional phone and email communication standards
Investor & Operational Support
- Assist with preparation and distribution of investor materials
- Maintain organized digital and physical filing systems
- Support CRM updates and record maintenance
- Coordinate with external CPA and legal teams as needed
- Track key reporting deadlines and ensure documentation accuracy
Office & Administrative Oversight
- Manage office operations, supplies, and vendor coordination
- Process expenses and assist with invoice tracking
- Support bookkeeping functions using QuickBooks
- Maintain confidentiality of sensitive financial and business information
Qualifications
- 3+ years experience as an Executive Assistant, preferably in finance, investment, real estate, private equity, or professional services
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and Google Workspace
- Experience with QuickBooks and basic accounting familiarity preferred
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- High level of discretion and professionalism
- Ability to manage multiple priorities in a fast-paced, in-person environment
