    Job Description:

    POSITION SUMMARY:

    The Academic Services Specialist-Registrar plays a pivotal role in ensuring efficient and effective student registration processes at Quincy College.

    This position provides comprehensive support to prospective and current students. The ideal candidate will have excellent organizational skills, attention to detail, and a strong commitment to student success.


    Responsibilities:

    • Oversee student registration and enrollment processes, ensuring accuracy and adherence to academic policies and procedures.
    • Maintain student records, including transcripts, grades, and course schedules, using appropriate database systems and software.
    • Assist students with course selection, program planning, and resolving scheduling conflicts.
    • Process transcript requests and coordinate the transfer of credits from other institutions.
    • Collaborate with academic departments to establish and update course catalogs, class schedules, and academic calendars.
    • Stay updated on relevant federal, state, and institutional regulations related to student records, privacy, and data security.
    • Responsible for transcript evaluation, ensuring proper assessment and recognition of transfer credits.
    • Participate in the grade appeal process, providing guidance to students on the necessary steps and documentation required for filing appeals.
    • Coordinate with faculty, department chairs, and academic committees to facilitate the review and resolution of grade appeals.
    • Process grade changes as necessary, ensuring accurate and timely updates to student records.
    • Assist with transcript evaluation.
    • Maintain documentation and records related to grade appeals and changes, adhering to confidentiality and privacy regulations.
    • Maintain foundational knowledge and assist in/with all areas pertaining to student financial aid/admission/ enrollment/registration/business/technical areas.
    • Schedule appointments to meet with prospective and current students to provide comprehensive information to answer their questions, issues, and concerns in all matters relative to financial aid/admission/registration/academic advising/business matters.
    • Assist with outreach activities and all recruiting initiatives of prospective students, current students, parents, and all constituents, including information sessions, campus tours, virtual office appointments, zoom sessions, and off-campus visits.
    * "Walk" students and prospective students through administrative/enrollment (admissions, course election, registration, financial aid, business) processes, providing instructional and technical support as needed.

    • Provide guidance and assistance to students regarding registration procedures, academic policies, and graduation requirements.
    • Serve as a point of contact for students, faculty, and staff, addressing inquiries, resolving issues, and providing exceptional customer service.
    • Collaborate with other college departments to streamline processes and improve student services.
    • Contribute to the development and implementation of student success initiatives, such as orientation programs and retention efforts.
    • Assist with the planning and execution of college-wide events and activities, such as commencement ceremonies.
    • Participate in mandatory training/coursework; including but not limited to: Title IX and Sexual Misconduct

    Requirements:

    EDUCATIONAL EXPERIENCE:

    High School Diploma/GED required, Associate's degree or Bachelor's degree in a related field (e.g., Education, Business Administration, Higher Education Administration) preferred.


    EXPERIENCE REQUIREMENTS:

    • Previous experience in registrar functions within a higher education setting is highly desirable.
    • Familiarity with student information systems and databases (e.g., Jenzabar, Ellucian Banner, PeopleSoft).
    • Excellent interpersonal and communication skills, with the ability to interact effectively with students, faculty, staff, and external stakeholders.
    • Exceptional organizational skills and attention

    SUPERVISORY RESPONSIBILITIES:
    None assigned.


    TRAVEL:
    Occasional local travel may be required including the Quincy and Plymouth Campuses, as well as the Boston location.
