    Description
    Essential Responsibilities


    • With minimal supervision, provide high-level administrative support to the members of the IP leadership team
    • Support and maintain calendars and schedules for IP leadership
    • Support coordination of leadership team meetings, HQ leadership & customer visits to SFO
    • Assist with travel arrangements, itineraries, international visa and passport processing requirements
    • Handle office supplies fulfillment, event planning and other administrative duties as required
    • Prepare travel expense reports using the Concur expense reporting system
    • Support special projects when necessary
    • Prepare PowerPoint presentations, Excel and Word documents & reporting as directed
    • Work with other admins and HR on campus for combined campus events (e.g., team building, employee relations events).
    • Work with HR to set up new shared service employees at the respective office location (e.g. desk/office, travel/relocation arrangements, onboarding meetings/schedules, corporate credit cards, phone, business cards)
    • Submit requisitions for purchase order requirements
    • Cover reception desk
    • US Bank administrator for corporate card processing
    Position Requirements


    Qualifications:

    • Educational degree (i.e., Associates degree in Business, Computer, or Secretarial Science or equivalent work experience or bachelor's degree preferred)
    • 2-4 years' experience in a large office environment

    Skills Required:

    • Good communication/interpersonal communication skills - able to work effectively across functions
    • Good organizational, prioritization and planning skills
    • Excellent customer service skills
    • Strong computer skills - experience with Excel, Word, PowerPoint, Access, Graphics, etc.
    • Must be knowledgeable in standard office procedures and practices
    • Knowledge of financial reporting systems is a plus
    • Self-starter, with proven ability to work independently and make independent decisions, especially amid ambiguity
    • Ability to work independently and as part of a team
    • Ability to work well under pressure, meet deadlines
    • Ability to maintain high ethical standards of integrity and quality
    • Detailed oriented, organized with a positive attitude and commitment to efficiency

    Business Acumen:

    • Experience with manufacturing industry is a plus

    Problem Solving:

    • Able to work with others to move forward with a solution.

    Interpersonal Skills:

    • Ability to communicate cross-culturally and with people at all levels across the organization
