    Overview:

    This position will serve as a Biomedical Coordinator for the Biomedical Research Section. This position is responsible for working collaboratively with the Biomedical Research Section Staff in implementing program requirements. This job is slated to start on 7/1/2024 and is only needed for 6 months.

    This position assists with the daily operations associated with the grant application process, working with grant recipients and research center staff, advisory council meetings, and related activities. This position requires considerable exercise of independent judgment, excellent interpersonal skills, good computer skills, and the ability to perform against high standards of excellence. Candidates will be required to work onsite in Tallahassee, FL.

    Essential Functions / Responsibilities:
    • Provides administrative support for grant advisory boards, councils, and symposiums.
    • Coordinates, plans, schedules, and facilitates advisory boards and council meetings, symposiums, or other meetings to support Biomedical research initiatives.
    • Ensures that meeting objectives are met, and discussions are productive and collaborative.
    • Works with Biomedical Supervisor and other executive leaders to ensure that advisory boards, councils, and symposiums align with the mission and vision and comply with statute and policy.
    • Engage with board members, council members, and external stakeholders to solicit input, gather feedback, and build strong relationships.
    • Draft, compile, organize, and distribute relevant information, reports, and materials to board/council members in a timely manner.
    • Facilitate constructive discussions, manage conflicts, and navigate sensitive issues that may arise during board/council meetings.
    • Document meeting minutes, action items, and decisions, and ensure follow-up on action items to track progress and accountability.
    • Work with Biomedical Supervisor and other executive leaders to evaluate and improve the effectiveness of advisory board/council processes, structures, and communications to drive ongoing improvement and engagement.
    • Provide administrative support of Biomedical research initiatives.
    • Provide support with data collection and governance to report on Biomedical team success criteria.
    • Collaborate with the grant managers, advisory boards, committees, and or councils to draft documents for the administration and management of grants.
    • Follows policy for branding, formatting, and style.
    • Assists with the gathering of information and data for reporting upon request.
    • Perform other duties as assigned.
    Qualifications:
    • A Bachelor's Degree from an accredited college or university in Public Administration, Communication, or a related field; or 4 years of administrative experience in a related field.
    • Three years of experience managing multiple priorities and deadlines effectively.
    • Three years of communicating with internal and external partners using a variety of tools and methods (verbal, written, presentation, etc.).
    • Three years of experience in facilitation, project management, or leadership roles, particularly in managing advisory boards, councils, or similar groups.
    • Three years of experience building interpersonal relationships with the ability to engage with diverse stakeholders and foster collaboration.
    • Three years of experience with policy governance specifically dealing with statute, rule and other regulatory requirements.
    • Three years of researching, gathering, and organizing information and data from diverse sources.
    • Three years of experience using MS Office Suite, including Outlook, Word, Excel, and PowerPoint.
