- Collaborate closely with sales reps to plan and execute roofing projects effectively. Once the job is initiated it is your responsibility to move it through the 5 steps and 2 transitions to completion.
- Maintain accurate project records in the CRM system (JobNimbus) to ensure up-to-date project information.
- Prepare and send Docusign documents for necessary project approvals.
- Organize Google Drive folders for each project and upload relevant documentation.
- Order Eagleview reports for projects after obtaining required approvals.
- Coordinate with subcontractors to schedule trade estimates and ensure timely submissions.
- Confirm scheduling with homeowners for trade estimate appointments.
- Follow up with subcontractors to obtain estimates and necessary documentation.
- Utilize Xactimate software to create accurate roofing estimates for supplementation.
- Review project photos in CompanyCam to identify evidence for supplement justifications.
- Prepare supplements, submit them to insurance, and track approval status.
- Review insurance reports to verify payment accuracy and adherence to our estimates.
- Generate material orders and transmit them to suppliers promptly.
- Coordinate scheduling with roofers for installation based on material availability and project timelines.
- Deliver "What to Expect" emails to homeowners to keep them informed.
- Manage the process of obtaining required permits, ensuring regulatory compliance.
- Invoice homeowners for Actual Cash Value (ACV) and deductible amounts.
- Collaborate with accounting to ensure smooth invoice processing and payment collection.
- Oversee the collection of leftover materials (LOM) after projects, coordinating pickup with suppliers.
- Manage homeowner invoicing for final payments and backend supplements as needed.
- Maintain effective communication with homeowners regarding payments and project balance.
- Collaborate with sales rep and adjusters to facilitate supplement approvals and resolutions.
- Prepare final invoices for homeowners, ensuring accurate representation of project costs.
- Contribute to project profitability by adhering to financial guidelines.

The "essential duties, elements, and responsibilities" of this position is: To play a pivotal role in managing roofing projects from inception to completion. This position requires effective coordination with sales reps, insurance companies, subcontractors, public adjusters, attorneys and homeowners. The Project Coordinator utilizes various software tools to ensure the successful execution of roofing projects within set timeframes.
Essential Responsibilities:
It is the responsibility of the project coordinator to take ownership of each project brought to them by the sales reps and ensure that it is moved through the process as profitably and efficiently as possible.
