    Overview

    As the Lead Finance Associate, you're a key part in supporting the Honest Weight Food Co-op's mission.

    This opportunity to support a growing, triple bottom line food cooperative in the finance department is both challenging and rewarding.

    You'll perform a wide variety of financial, bookkeeping, and data analysis work supporting accounts payable, payroll, store departments, and the fulfillment of the triple bottom line.

    Temporary, Part Time or Full Time, $23.00-$25.00/hour

    Responsibilities


    • Timely, detail-oriented performance of Finance Department tasks including:
    • Serve as the main point of contact for vendors regarding payment
    • Oversight of accounts payable data entry and invoice entry
    • Routine vendor payments and weekly check runs in
    • Maintain vendor and distributor information and negotiate terms (Electronic Payments etc)
    • Support the monthly reconciliation of vendor statements
    • Maintain credit references and process vendor credit applications
    • Manage the sync process between accounting and AP programs
    • Provide the finance associate with AP data entry and invoice entry support
    • Creative and innovative improvements to accounts payable systems and procedures
    • Work with other Finance Department staff to identify discrepancies and solve problems
    • Payroll processing
    • Monthly Reconciliation of Vacation Accrual Balances and Payroll Journal Entries
    • Maintain an up-to-date version of Payroll Processing instructions
    • Import Weekly Payroll Journal Entry into Quickbooks
    • Approval of pay adjustments in HRIS (Retros, reimbursements, corrections)
    • Provide department managers with weekly support in reviewing employee time cards
    • Review HR changes in employee and benefit information as relevant to payroll
    • Process weekly payroll timely and accurately
    • General Finance Department Responsibilities:
    • Periodic (daily, weekly, monthly) routines, team projects, and special requests as needed.
    • Management, training and scheduling of Finance member-workers
    • Maintenance of the department procedures manual as processes evolve over time
    • Assisting in quarterly inventory auditing (night shift once per quarter)
    • Assisting finance department in annual independent CPA audit
    • Performing routine data imports to QuickBooks
    • Processing share refund requests and staff & member reimbursements
    • Analysis of marketing metrics and campaigns, including preparation of reports
    • Preparing and analyzing financial reports for department managers as part of monthly closing process
    • Work across departments to ensure:
    • Understanding of accounts payable process and procedures
    • Proper coding of invoices and sales or use taxProper receiving procedures and maintenance of receiving logs
    • Timely submission of invoices in accordance with month closing timeline
    • Support Honest Weight Food Co-op's mission by:
    • Growing excellent relationships with hundreds of local vendors
    • Tracking and maintaining a list of local vendors
    • Providing creative and innovative ideas relevant to the triple bottom line, with follow-through

    Requirements & Experience

    Proficient in QuickBooks or similar accounting software and Microsoft Office Suite

    Competence in advanced MS Excel functions is strongly preferred

    Payroll processing experience is strongly preferred

    Familiarity with SMS or other POS Software is preferred

    Excellent customer service skill as this position works directly with vendors and frequently interacts with member-owners and store customers

    Understanding of US GAAP and Cooperative Principles

    Flexible with schedule based on seasonal demands

    Detail oriented and experience working in a high paced retail environment

    Energetic and adaptable to the changes in a competitive grocery environment
