    PRIMARY PURPOSE:
    Facilitate the efficient operation of the school office by greeting visitors courteously and routing calls in a friendly and efficient manner.

    QUALIFICATIONS:
    Education/Certification
    High school diploma or GED

    Special Knowledge/Skills:
    Proficient skills in word processing, keyboarding skills and file maintenance
    Effective organization, communication and interpersonal skills
    Ability to follow written instructions
    Ability to operate multi-line phone system

    Preferred Experience:
    Three years of successful secretarial or clerical experience preferable in a related field.

    MAJOR RESPONSIBILITIES AND DUTIES:
    Reception and Phone
    1. Organize and manage the routine work activities in the office.
    2. Greet all visitors, students and teachers courteously. Determine their needs, check with secretaries regarding appointment times, and take messages for designated staff personnel. Operate multi-positional telephone switchboard to relay incoming, outgoing, and inter-office call.
    3. Answer questions of callers according to school administrative procedures.
    4. Place long distance telephone calls for extensions that are coordinated by the switchboard.
    5. Maintain an up-to-date listing of school district telephone numbers and high school extension numbers.
    6. Keep a record of all long distance and incoming collect telephone calls made through the switchboard.
    7. Prepare correspondence, forms, reports, etc. for the assigned administrator.
    8. Receive incoming calls, take reliable messages, and route all to appropriate staff.
    9. Receive, sort, and distribute mail and other documents to staff members.

    1. Maintain confidentiality of information.
    2. Participate in staff development training programs when appropriate.
    3. Keep informed and comply with all state and district policies and regulations concerning primary job functions.

    Tools/Equipment Used: Standard office equipment including personal computer and peripherals
    Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
    Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
    Lifting: Occasional light lifting and carrying (less than 15 pounds); Occasional lifting and moving of moderate to heavy objects, over 45 pounds
    Environment: May work prolonged or irregular hours
    Mental Demands: Work with frequent interruptions; maintain emotional control under stress
