- Provide administrative support including scheduling meetings, maintaining calendars, setting up travel arrangements, printing and filing, running office errands, and other office support activities
- Perform reception duties including greeting visitors and answering and directing calls
- Manage office supplies inventory
- Receive and distribute incoming mail and deliveries and manage outgoing mail and package processing
- Maintain, update, and implement standard operating procedures for the Peoria office in adherence with applicable TERRA-wide procedures
- Identify opportunities for process improvements and develop solutions
- Administrative responsibilities in partnership with accounting, human resources and marketing as needed:
- Business expense reconciliation
- Onboarding of new hires and coordination of local career fairs
- Marketing proposal and delivery support
- Office configuration/move coordination
- Work closely with the Senior Administrative Assistant in the Chicago office to ensure consistency and timeliness of administrative processes and procedures
- Additional responsibilities as needed and requested
- Two plus years of experience in an administrative/office support role; Bachelor's degree preferred
- High degree of dependability with regular presence in the office to effectively execute responsibilities
- Exceptional attention to detail, organization, prioritization, and time management skills
- Self-starter and self-directed; comfortable handling ambiguity
- Excellent communication, customer service, and interpersonal skills
- Competent in protecting sensitive and/or confidential information and sharing only with those who have a business need-to-know
- Strong proficiency with Microsoft Office Suite
- Ability to stay on task and be persistent when needed
- Valid driver's license
