    Job Description:


    The client is looking for a Project Manager to support the planning and implementation of the new district Facilities Management Operations System (Procore) and its data and process interface with the new Enterprise Budget and Finance system (Frontline Education), especially on procurement functions including contracts, requisitions, purchase orders, invoices, and others.

    The client is implementing a new Facilities/Construction system to manage the $3.2B Bond Program (Procore) and also the new Enterprise Finance, Human Resources, and Payroll system (Frontline Education).

    The Project Manager will lead the project to align the process, systems, and data interface between the 2 new systems, Procore and Frontline Education including the project planning, control, and implementation and ensure that the project is delivered on time, within budget, and on requirements, working with Technology, Operations (Facilities, Construction, Bond), and Finance divisions.


    Main Deliverables:
    Plan, control, and document the system setup, testing, and going live tasks
    Lead project sessions including facilitating, preparing, and communicating agenda, expected outcomes, list of participants, location (in person, remote, or hybrid), deliverables, action items, and others

    Develop, document, update, and follow up the project plan including timeline, budget, resources, deliverables, task list and RAID (Risks, Action Items, Issues & decisions) log in SmartSheet and Google Docs.

    Document and follow up action items, issues, and decisions in SmartSheet and Google Docs.
    Facilitate, document, and communicate project meetings including adding video recordings.

    Education / Work Experience:
    Bachelor's degree in Engineering, Business Administration, Finance, Information Systems, Technology, or other related field and three years of Project Management experience, methodology


    Required:
    Must have a project management certification or 3+ years of working experience.
    Minimum of three (3) years of progressive experience in broad-based information systems, system integration and project delivery. Experience working with external vendors and/or Quality Assurance efforts is a plus.

    Required experience in successful project management function in cloud-based management software/application implementation preferably in Facilities, Construction, Bond and/or Procurement, Contracting in school districts or k12 organizations working with significant amount of vendors, subcontractors, contracts, purchase orders, invoices and transactions.

    Preferred experience with business analysis, requirements gathering, process development, data interfaces, and implementation of Enterprise system including Procurement, Account Payables, Business, Finance, Payroll, Position Control, Employee Compensation, Recruiting, Hiring, Onboarding, Procurement, Maintenance or Employee Evaluation, Construction Management functions.

    Preferred certification in Lean Six Sigma, process/system improvement, Experience developing current and future processes, developing key performance indicators, and aligning systems, processes and people
    Preferred experience in a K12 organization in a central office or school.
    Required experience in analytics Microsoft Excel or Google Sheets including pivot tables, formulas, and others.

    Required proficiency in Google Suite (Drive, Sheets, Slides, Docs, Forms), Microsoft Office suite (Word, PowerPoint, Excel, and Outlook); Flowchart maker and diagramming (Visio, , Lucid Chart), Project management tools (SmartSheet) and Learning Management Systems.

    Preferred experience implementing enterprise systems such as Facilities, Construction as Tririga, Procore or others.
    Preferred experience implementing or using Financial enterprise systems such as Frontline ed, Tyler Munis, Lawson or other.
    Preferred experience in a highly regulated industry/function such as Healthcare or other.

    Experience and Qualifications:
    Demonstrated competence and experience in sustaining project timelines, schedules, and critical path analysis with all affected parties. Experience and knowledge in project management and leadership, preferably in a school district setting.

    Experience working with key District and vendor(s) staff to establish performance targets, track progress, and create concise reporting through various means (i.e., electronic, database, PERT, and Gantt-type project management tools).

    Effective communication skills, and interpersonal skills, with the ability to clearly report on plan implementation progress, and motivate staff to follow the timelines, report progress, and adapt and adjust as required.

    Ability to communicate with staff in both teams and individually, and to collaborate to establish the objectives, action steps, and critical path timeline for each goal.

    Travel:


    When required and authorized by the Client, the Contractor will perform services on-site at the designated campus and/or department for assistance or training.

    The frequency and duration of travel will be jointly determined. The Client will reimburse for travel using the Client's guidelines or funding entity guidelines, whichever is less. Any special circumstances or exceptions must be approved prior to travel by the District's Chief Financial Officer.

    Logistics:
    The Client will provide a portable computer during the contract period.

    The Client will provide the Contractor with workspace, access to ERP project files, access to the client systems, and the client's equipment as needed.
