    Roles and Responsibilities:

    Job Summary/Overview:
    Finance Specialist oversees project cost, forecasting, and document control in support of the Facilities Services Team. Is a team player who works with staff to create and maintain capitol and expense budgets. Maintains systems to request, track, and verify purchase orders, invoices, and payments to vendors. Works with department Managers to develop detailed cost schedules for new construction and renovation work. Collects and organizes all documentation associated with projects, including drawings, permits, scopes of work, and vendor bids.


    Specific Job Duties:
    Support and assist department managers to develop and manage project schedule during planning and execution.

    Reviews/updates project schedule and compares to actual cost performance for baseline variances and change orders.

    Review vendor, sub-contractor and consultant schedule submittals and incorporates appropriate information into project schedule(s).

    During execution, maintain weekly project cost and schedule updates. Generate weekly reports for department managers.

    Develop project cost forecast base on project schedule and project progress data, and present project forecast to project managers.

    Reviews, approves, and processes invoices related to completed work.

    Manages disputed invoices identified in the invoice approval process to identify issues and take through to resolution.

    Coordinate and work with the project managers to resolve project cost related issues on their projects.

    Track project change orders relative to available project budget.

    Interfaces with Finance and other Departments to ensure timely processing of project cost.

    Ensure accurate information distributed as need throughout the team and external vendors.

    Conduct regular reviews and document audits, producing document progress reports through project closeout.

    M-F, 1st Shift


    Skills and Qualifications:
    Education, Training, Certification(s) and Minimum years of experience required:

    An Associate's or Bachelor's degree in business, finance or related field is highly preferred.

    2+ years of project finance and program administration in an industrial setting or related industry.

    MS Excel proficiency is required

    Knowledge, Skills, Abilities, Software, and Tools:

    Proficiency with scheduling software.

    Outstanding computer skills to include Microsoft Excel and database applications.

    Demonstrated success on the job, as evidenced by satisfactory performance, acceptance of responsibility and growth in previous positions.


    Effective oral and written communication skills, with an ability to communicate complex issues to a non-technical audience and to communicate effectively amongst multiple groups and end users.

    Ability to effectively manage time to create and manage multiple project finances at once.

    Ability to read and understand financial plans.

    Aptitude for documentation and data analysis using MS Office programs, including Project, Excel, Word, and Power Point.

    Ability to learn custom and internally developed software programs.

    Reliable and punctual attendance is required.

    Ability to work overtime / on non-scheduled days as required.
