    Job Overview

    The Church Office Administrator plays a vital role in ensuring the smooth operation of the church's administrative and financial functions. This position is responsible for supporting church leadership, staff, and congregation members by managing office operations, maintaining financial records, and adhering to church policies and procedures.

    The ideal candidate will possess strong organizational skills, experience in both office and financial administration, and a commitment to serving in a faith-based environment.

    Main Responsibilities

    Office Management

    • Daily Operations: Oversee daily office activities to create an organized and welcoming environment for visitors, volunteers, and staff.
    • Records Management: Maintain accurate and up-to-date records, including membership databases, donations, and mailing lists, ensuring confidentiality and accuracy.
    • Administrative Support: Provide support to Elders, Minister, and Finance Strategist, including preparing presentations, handling travel arrangements, and other duties as needed.
    • Social Media & Website Updates: Manage the church's online presence by updating the website and social media with current information and events.

    Financial Administration

    • Accounts Payable/Receivable: Process invoices, payments, reimbursements, and donations in a timely manner.
    • Payroll Support: Assist with payroll processing, including timesheet verification, benefit deductions, and reporting.
    • Budgeting and Reporting: Prepare, monitor, and update budgets; provide monthly financial reports to church leadership.
    • Financial Record-Keeping: Maintain accurate and up-to-date financial records in accordance with church policies and procedures.
    • Bank Reconciliation: Perform monthly bank reconciliations to ensure account accuracy.
    • Audit Support: Prepare financial records and documentation as needed for internal and external audits.
    • Compliance: Ensure adherence to financial and confidentiality policies, maintaining records in compliance with relevant regulations.

    Requirements

    • High school diploma or equivalent required; additional education in business administration, finance, or office management preferred.
    • 3+ years of experience in office administration and financial management, preferably within a church or nonprofit setting.
    • Proficiency in Microsoft Office Suite and financial software (e.g., QuickBooks).
    • Strong organizational, time-management, and multi-tasking skills.
    • Excellent written and verbal communication skills.
    • Ability to maintain confidentiality and handle sensitive information with integrity.
    • Strong interpersonal skills and a welcoming attitude towards church members and visitors.
    • Ability to work independently and as part of a team.

    Preferred Qualifications

    • Experience with payroll or bookkeeping.
    • Knowledge of church management software (e.g., Servant Keeper, Realm).

    Physical Demands

    Must be able to lift and move items up to 20 lbs. as required for the role.

    Work Environment

    Full-time position, Monday – Friday (limited weekend or evening hours).

    Reports To

    Designated Elder.

    Salary Range

    $22 - $28 per hour, commensurate with experience.
