    Job Description and Responsibilities:

    Willow Valley is hiring a Marketing and Events Specialist to be responsible for creating, planning, and executing events for sales prospects who want to learn more about Willow Valley Communities. This Team Member will utilize strong attention to detail, willingness to collaborate and organizational skills.

    Wage:

    • From $22.00/hr + based on experience

    Responsibilities:

    • Collaborates with the Marketing and Sales teams to create engaging and effective events that showcase the lifestyle, history and hospitality of Willow Valley Communities.
    • Coordinates across several departments to gain necessary resources for each event.
    • Manages relationships with outside partners, vendors and service providers for events.
    • Initiates marketing campaigns to promote attendance at each event and works with appropriate Team Members to create and distribute direct mail, email, print advertising and digital advertising campaigns.
    • Working with Web Strategy and Digital Marketing Specialist and relevant consultants, initiates the creation of effective web tools to promote attendance at events, including web landing pages, digital advertising and remarketing campaigns.
    • Coordinates each event and all of the planning prior to, during and after events.
    • Assists with budget planning.
    • Responsible for adhering to budgets, tracking and reporting expenses.
    • Reviews and approves event invoices.
    • Seeks continuous improvement of events by developing feedback surveys and evaluating effectiveness of events.
    • Works closely with Sales Assistant to ensure that all prospects are added to Enquire CRM.
    • Responsible for maintaining inventory of event-related printed collateral and promotional items, as well as effectively managing the spaces in which the collateral is stored.
    • Implements effective and ongoing event communication with Marketing and Sales teams through checklists and event updates.
    • Responsible for creating, maintaining, updating and distributing annual marketing and sales events calendar.
    • Schedules, manages and updates Resident volunteers for events.
    • Works with creative sources to develop event signage, programs, and promotional collateral.
    • Assists with copywriting and proofreading of event & marketing materials.
    • Tracks and reports on event attendance and prospect demographics.
    • Researches competitor events information and shares with department.
    • As the gatekeeper and leader at events, acts as a brand ambassador and presents a positive image of our company, our team, our brand, and our Residents to prospective Residents, Team Members, vendors and service providers.
    • Contributes to a positive workplace and promotes a helpful and collaborative team spirit.
    • Assists Marketing & Advertising Project Coordinator with Marketing department requests in the Wrike Project Management system. This includes setting up projects, assigning tasks to relevant parties, verifying that all necessary information has been provided, obtaining quotes and ensuring that project deadlines are met.
    • Assists in photo and video shoot prep (identifies locations, arranges models, prepares schedules etc.).

    Direct Mail/Online Coordination and Analysis:

    • Works with Marketing and Sales team to plan direct mail strategies and timelines.
    • Coordinates mailing with Marketing & Advertising Project Coordinator to assure quality production and timely/cost effective distribution.
    • Analyzes and conducts inquiries on direct mail and lead data from Enquire CRM to determine campaign effectiveness.
    • Identifies target audiences for each event using Enquire CRM.
    • Assists with weekly review of event-related website content to ensure relevance and accuracy of information.
    • Assists with research and recommendations for web and social media event promotions.

    Qualifications:

    • Associates or Bachelors degree in Marketing, Communications, Public Relations or equivalent experience required.
    • Two or more years of marketing or event planning experience with proven success preferred but not required.
    • Strong organizational skills and the ability to conduct multiple tasks and projects simultaneously under tight deadlines often switching from one task to the next.
    • Creative, innovative and enthusiastic with the ability to suggest improved processes as identified

    • Strong attention to detail with a high level of accuracy
    • Positive, supportive attitude, with excellent and detailed communication skills
    • Commitment to being a good ambassador for the organization

    Hours:

    • 40 hrs/week

    Schedule:

    • 8:00am-5:00pm
