    Basic Function

    As part of the Wolters Kluwer Global Business Services division, the Event Planning Specialist supports the Associate Director in the overall vision of a best-in-class event management team that functions as a shared service across the company.

    This role will assist the Associate Director with the execution of event plans to support the team's goals and overall growth of the Wolters Kluwer events portfolio.

    This role will be responsible for supporting the management of events like internal sales meetings, executive events, user conferences and incentives that expand the Wolters Kluwer brand in market, educate, as well as drive revenue expansion.

    The Coordinate will support the execution of the event project plan under the direction of the direction of the event manager leading the event.

    The ideal candidate will have a high degree of creativity, a customer-centric mindset, ability to listen and lead change, meet deadlines, multi-task, respond to stress constructively, demonstrate discretion & patience, and effective problem-solving skills.

    This position is remote based with travel to NYC office several times per year.

    Essential Duties and responsibilities

    Responsibilities Include:

    • Support the overall goals of the team and organization set by the Associate Director.
    • Support the management and execution of a selected corporate events that are executed to the highest possible standards with direction from the event lead.
    • Develop event project timelines for tradeshows.
    • Manage the end-to-end planning of medium size tradeshow events that include the ordering of show services, coordination of booth shipping and drayage. Also management the booth contractors.
    • Manage any customer events that are occurring during the tradeshow. Includes the ordering of food & beverages, AV and décor.
    • Manage the creation of internal briefing documents and the communication to the event staff on the event details and execution plans.
    • Support the business units on the delivery of any event leads to the appropriate teams. Create final report showcasing the results and KPI's for the event.

    Other Duties
    Performs other duties as assigned by supervisor.

    Job Qualifications

    Education:

    • Bachelor's degree or experience equivalent required.

    Experience:

    • 3 years of experience with responsibility for developing and executing events: overall event management, branding efforts and onsite execution of event logistics.
    Other Knowledge, Skills, Abilities or Certifications: (First list requirements, followed by preferences.)

    • Proven success in working in matrixed organizations.
    • Maintain and promote a successful and positive work environment.
    • Must have strong communication, presentation and interpersonal skills.
    • An exceptional thinker and collaborator, and a proven ability to solve problems and drive change.
    • Proven ability to manage multiple tasks/projects simultaneously meet deadlines and communicate effectively across teams.
    • Demonstrated customer service, ability to act diplomatically, and collaborate across teams.
    • Time and project management skills, superior organization skills and attention to detail.
    • Team player, flexible, "can-do" attitude
    • Ability to work well under pressure.
    • Cvent Event Management and SMM platform experience.
    • Experience in supplier strategy and management.
    • Computer proficiency in MS Office suite required.

    Travel requirements
    Travel required as needed for events including some weekends and evenings. Anticipated travel is up to 40%.

    Physical Demands
    Normal office environment.
