Job Description:
The AA will proactively manage the calendars of 5 principals.
The AA will schedule items by applying considerable knowledge of principal/s role and responsibilities in relation to supporting the mission, and working knowledge of larger mission proprieties, and use sound judgement in rescheduling calendar items to accommodate new requirements and shifting priorities.
The AA will independently and proactively resolve any additional calendar conflicts created by new requirements, and notify appropriate personnel affected by changes, using protocol procedures.
The AA manages regularly scheduled management meetings, sends out communications regarding the status of those meetings, updates meeting invite lists, and finds conference rooms and other meeting venues.
The AA must have a working knowledge of mission priorities, business area(s) and personal preferences, protocol, and organizational hierarchy to screen, vet and prioritize emails, visitors, and phone calls to proactively manage and de-conflict calendars and to determine threshold issues that need to rise to the principal's attention.
The AA will balance the demands on the principal's time.The AA will prepare the principal for meetings making sure they have all relevant information prior to attendance, including but not limited to:
sufficient print out of necessary materials, and access to any softcopy presentations.
The AA will draft clear, concise, hard and soft copy routine to moderately complex correspondence and other documents to determine if questions and/or concerns are adequately addressed.
The AA will format, proofread, and edit correspondence and other document to ensure clarity, accuracy, grammar, and conformance with sponsor and IC correspondence guidance.
The AA will track the status of all action items through completion.The AA will also assist the principal with running the admin duties for job applicant selection panels, including setting up meeting rooms, and handling the emails for deconflicting the schedules of all panel representatives and applicants for the job selection panels that the principals are responsible for.
The AA will place and answer phone calls for the principal; employing proper protocol and interact confidently and effectively on behalf of the principal by communicating orally and in writing his/her requirements and priorities on routine to moderately complex mission-related issues.
