    I. SUMMARY OF POSITION

    Coordinates all front office activities to ensure efficient daily operations of the Wound and Hyperbaric Medicine Department.

    II. SPECIFIC DUTIES AND RESPONSIBILITIES

  • Assist administrative staff in the day-today flow of the office, and assist clinical staff as needed. Recommend and implement changes to increase efficiency and improve patient care and front office operations and reports issues or concerns to Wound and Hyperbaric Medicine manager.
  • Obtain accurate demographic and insurance information on outpatients, Collect and write receipts for payments on accounts, Check pre-certification and verification of benefits on patients.
  • Data entry for department payroll. Work in conjunction with manager of Wound and Hyperbaric Medicine to ensure that PTO is entered into Accustaff and Kronos, and that payroll reports are submitted in a timely fashion.
  • Maintain working knowledge of common wound care diagnosis coding; obtain precertification/pre-authorization for treatments related to wound care.
  • Respond to questions and problems pertaining to front office duties and flow of operations. Establish and maintain a cooperative relationship with staff, manager and providers, and communicate well with all staff.
  • Follow financial policy and procedures of the office. Monitor and maintain strong cash control measures and policies within the department.
  • Monitor office supplies and submit orders for all front office supplies as necessary. Maintain work area in neat and orderly fashion
  • Report to Wound and Hyperbaric Medicine manager any problems, unusual occurrences, patient / visitor complaints and comments. Demonstrate good communication and customer services skills and interact with all patients – regardless of age, sex, race, background, diagnoses, etc. – with respect and willingness to help. Adheres to the policy that direct patient care should not be interrupted unless absolutely necessary.
  • Greet incoming patients and visitors in a friendly and professional manner. Answer phones and direct calls to appropriate staff members and make appointments as necessary. Enter new patients into the computer system, enter demographic and insurance information. Verify identity of all self-pay patients. Schedule follow up appointments, verify information on encounter form, assign charges and collect co-pays/payments. Enter and balance charges and receipts for the end-of-day. Assist with scheduling tests and referral appointments as needed.
  • Responsible for patient appointment schedule for the physicians and in conjunction with the Wound and Hyperbaric Medicine manager, makes changes to the appointment schedule as necessary. Schedules vendor appointments and inservices.
  • Serve as a liaison between clinic and other offices including physician offices, home health, DME suppliers, and Logisticare.
  • Adhere to infection control guidelines and safety procedures to ensure a safe working environment. Recognize and report potential hazards, presenting ideas for improvements. Maintain strictest patient confidentiality at all times. Comply with HIPAA, JCAHO and other regulatory standards.
  • Able to prioritize or reorganize tasks to ensure the highest level of patient care and customer satisfaction. Utilize time efficiently and complete work within acceptable time limits. Use spare time in work-related activities, cross training or assisting other staff. Perform other tasks as required and directed by providers and Wound and Hyperbaric Medicine manager.
  • Demonstrate ability to adapt to difficult and changing situations with a positive attitude. Establish and maintains a cooperative relationship with staff and physicians. Diligently promote strong communications and teamwork within the department and provide an example to all staff by demonstrating excellent communication and teamwork skills.
  • Attend required in-services and meeting. Attend necessary continuing education programs training seminars to maintain job-related credentialing/expertise.
  • Perform other duties as necessary and/or assigned by Wound and hyperbaric Medicine manager.
  • III. EDUCATION/QUALIFICATIONS

  • High school, CMA or equivalent with minimum 2 years of experience in medical office setting.
