    Description

    Position Overview:

    The General Administrator is responsible for basic office, IT, and maintenance tasks.

    Responsible for office-related tasks such as mailings, key fob/security pin management, office supply ordering, invoices, etc.

    Responsible for maintenance-related tasks such as basic handywork, contracts, etc. Responsible for basic technology needs of employees.

    Essential Duties and Responsibilities:

    1. Payment of invoices and submission for approval in company portal
    2. Office supply ordering
    3. Maintaining the building key fob and security pin program
    4. Handling incoming/outgoing mail
    5. Manage office sign-in sheets and visitor logs
    6. Ensure required safety checks are completed on time, system checks, communicate with fire
    7. department as necessary, etc.
    8. Changing lightbulbs, hanging wall décor, small cleanups, small repairs, basic furniture
    9. building/ordering, etc.
    10. Schedule cleaning service, rug rental, landscaping, snow clearing, pest control, security, etc.
    11. Schedule vendors such as electricians, HVAC provider, utilities, elevator service, etc.
    12. Work with contractors and City of Richfield for building issues and expansion projects
    13. Manage & pay property taxes, commercial building insurance, company vehicle auto insurance
    14. Manage vendor invoices and payment, order printer toners and replace the toner, call the vendor
    15. for tech support when there is a hardware issue or repair service, user support for the printing error
    16. Communicate with the physical security vendor (South East Security)
    17. Manage the physical security systems (CCTV, Door Lock, doorbell, etc)
    18. Place an order for a new phone device and DID number for the new hires
    19. Set up and install a new phone device
    20. Update AA (Auto Attendant)
    21. Update Holiday at the Contact Center
    22. Communicate with the Internet Service Provider when there is a Service Outage
    23. Expatriate vehicles (Ally, Genisis, etc.), company cell phones (Verizon), etc.

    Responsibility and Decision-Making Authority:

    1. Speak with and provide information to contractors
    2. Ensure that safety policies are upheld
    3. Maintenance upkeep

    Requirements:

    1. Exceptional verbal and written communication skills.
    2. Highly proficient level computer skills including Ms. Word, PowerPoint, Excellent Excel.
    3. Excellent telephone personality skills.
    4. Excellent time management skills.
    5. Highly energetic and self-starter.
    6. Decision-making, problem resolution and creative thinking skills.
    7. Able to multi-task the activities with shifting priorities.
    8. Should be honest, assertive and systematic.
    9. Computer literate with knowledge of all Microsoft Office Applications especially Excel and Power
    10. Point, etc., Excellent Excel skills - preferred

    Education and Experience:

    1. 3-5 years of maintenance experience
    2. 3-5 years of technology experience
