About the Role
We're looking for a Client Services Coordinator to provide high-level operational and administrative support to our EVP, Brokerage. You'll be the operational backbone for a high-performing executive, managing deal flow, creating client deliverables, coordinating transactions, and ensuring nothing falls through the cracks.
This role is ideal for someone who thrives in a fast-paced environment, has a laser focus on details, and can manage up effectively. You'll work cross-functionally with marketing and operations teams, with exposure to all aspects of the business. This is a fully remote role with occasional travel / in-person meeting support with priority for candidates residing in MA or AZ.
What You'll Do
AI-First Workflow
- Use AI tools (Claude, ChatGPT, Copilot) daily to draft documents, accelerate research, and create client deliverables
- Continuously experiment with new AI tools to improve speed and quality of work
- Serve as a power user of LocateAI's proprietary platform
- Identify opportunities to automate repetitive tasks and improve team efficiency
Transaction & Deal Support
- Prepare deal documents including RFPs, Letters of Intent, lease abstracts, renewal letters, and client correspondence
- Attend client calls / meetings
- Coordinate flow of documentation between clients, landlords, and internal teams throughout the deal lifecycle
- Manage and maintain CRM database to track the EVP's prospects, clients, and deal pipeline
- Collect and process deal file paperwork; calculate commissions and submit closed transactions, support collections of commissions
Client Deliverables & Research
- Create market surveys, tour books, competitive sets, and property analysis packages
- Prepare polished presentations, pitches, and proposals for client meetings
- Gather market research using CoStar, LoopNet, and proprietary tools
- Coordinate property tours and create tour logistics packages for clients
Marketing
- Prepare tour packages and client materials using established templates
- Create and update templated marketing collateral including property flyers, brochures, and email campaigns
- Ensure all materials adhere to brand guidelines, maintaining consistency in fonts, colors, logos, and visual standards
Administrative Operations
- Support EVP's calendar and meeting coordination
- Track and process expense reports; support operations with commission documentation
- Maintain discretion and professionalism when handling confidential client and deal information
What You Bring
Required
- 2+ years of experience supporting senior commercial real estate professionals or executives in a similar coordinator/administrative role
- Demonstrated experience with deal documentation, transaction coordination, and client deliverables
- Strong project management skills: ability to juggle multiple priorities, meet deadlines, and work independently
- Excellent written and verbal communication skills with sharp proofreading abilities
- Self-starter mentality with a proactive, detail-oriented approach
- Experience in commercial real estate brokerage support (site selection, leasing, or transaction coordination)
- Comfort working in a remote-first, fast-paced startup environment
- Knowledge of lease terminology and commercial real estate transaction fundamentals
- Experience with Canva (required) and Adobe Indesign (nice to have) or creating marketing materials
