    Overview:


    The Coordinator, IT Vendor & Contract role is a dynamic and critical position responsible for overseeing the acquisition, management, and renewal of IT vendor contracts.

    This role requires meticulous attention to detail, strong negotiation skills, and the ability to maintain comprehensive vendor databases.

    The successful candidate will ensure that all contract-related processes are executed with precision, supporting both operational workflow and strategic management decisions.

    Working within a fast-paced, multi-platform environment, the coordinator will be essential in facilitating effective vendor relationships and ensuring seamless support for the technical business needs of the organization.


    Job Duties:
    35% Acquisition and

    Contract Management:
    Assist in the acquisition, negotiation, and renewal of IT vendor contracts. Review, analyze, and create a hierarchy for IT vendor agreements. Maintain and update IT vendor databases.

    Quality Assurance:


    Perform quality reviews of databases to ensure agreements are entered correctly and work with staff to correct and advise on proper protocols.

    10% Training:

    Train and assist new employees with the processes and procedures of the databases. Create work instructions, procedures, and standards.

    Vendor Registration:
    Request vendor registrations from new and established vendors and assist IT Payables with finalizing required documentation.

    10% Reporting:

    Create, review, maintain, and complete various reports for management.


    Skills and Experience Required:

    Education:
    Bachelor's degree or equivalent (4 years job-related work experience or an Associate's and 2 years job-related work experience).

    Experience:


    At least 4 years of project coordination or related experience, with a preference for 2 years of paralegal, legal assistant, or contracts experience.


    Skills:
    Excellent organizational, research, verbal and written communication skills. Demonstrated ability to work with and assist others. Analytical or critical thinking skills. Good judgment and discretion handling confidential information. Ability to work effectively in a team and prioritize work.

    Software:
    Proficiency in Microsoft Office. Smart Cloud Control Desktop is preferred.


    Additional Requirements:
    Fluent in English (ability to read, write, and speak).
    Basic knowledge of standard vendor management industry practices and ability to communicate effectively with both technical and non-technical personnel.
