    SHAY is a mother daughter jewelry line founded in Beverly Hills in 2004. Our pieces are designed in-house and made of exceptional diamonds and precious gemstones set in 18-karat gold. We are sold in luxury boutiques throughout the world such as Saks, Harrods, Net-A-Porter, and many more. Our jewelry is worn by some of the world's biggest celebrities and influencers such as: Beyonc, Jennifer Lopez, Rihanna, The Hadids, The Jenners, and many others.

    We are currently a 8-person team based in West Hollywood and looking for a superstar to join our team Applicants must be willing to do whatever it takes to get the job done. While were a well-established company, we continue to operate under the start-up culture. We dont want a task checker, we want someone to take SHAY to the next level and be part of the family and play a pivotal role in optimizing our logistics and sales processes.

    What is your Role?

    The Logistics & Sales Coordinator is responsible for handling all the aspects of logistics and will assist in the further development of SOPs, T&Cs as well as lending their expertise in operations to help the team grow with processes and procedures. You will also be the driving force behind our sales team's efficiency and success.

    Key Responsibilities:

    Sales:

    • Collaborate closely with the sales team to facilitate smooth order processing, ensuring a seamless journey from inquiry to delivery.
    • Engage with clients to gather crucial information, provide updates, and address inquiries, prioritizing exceptional customer satisfaction.
    • Maintain accurate sales records, reports, and documentation to track progress and identify areas for improvement.
    • Manage backend portals and administrative setups to ensure timely order fulfillment.
    • Assist in preparing sales presentations, proposals, and contracts to support sales efforts.
    • Participate actively in sales meetings, offering valuable insights and contributing to strategic target achievement.
    • Play a pivotal role in managing and optimizing our CRM system to boost sales team productivity.

    Logistics:

    • Oversee all aspects of logistics, from shipping to delivery, adhering to best practices.
    • Handle pick, pack, and shipping of packages for various outlets.
    • Demonstrate proficiency in worldwide customs and regulations.
    • Monitor, track, and follow up on all shipments, resolving any issues promptly.
    • Ensure compliance with proper shipping policies and customs regulations for returns.
    • Create and utilize UPC and EAN codes, tracking their usage effectively.
    • Manage logistics supplies inventory, projecting usage and ordering accordingly.
    • Proficiently handle commercial invoices, COA, LOA, POA, Manufacturers affidavit, USMCA, etc.
    • Familiarity with logistics terms such as DDP, DAP, Exworks, etc., and shipping partners like Brinks, DHL, FedEx, UPS, Parcel Pro, Ferrari, etc.
    • Provide cost-effective shipping method suggestions and assist in day-to-day office operations as needed.
    • Perform data entry for coordinating package templates and demonstrate intermediate Excel skills.
    • Assit with day to day office operation
    • Assit with managing inventory levels and monthly inventory

    Qualifications & Requirements:

    • Bachelor's degree with at least 4 years of professional experience.
    • In-depth knowledge of logistic protocols and procedures across different countries.
    • Experience in creating and coordinating specific documents, with familiarity in necessary documents for various territories.
    • Excellent communication skills, both written and verbal, with strong negotiation abilities.
    • Proven ability to think strategically and influence others.
    • Proficiency in Google Suite (Docs, Sheets, etc.) and CRM software.
    • Strong organizational skills with the ability to manage multiple tasks simultaneously.
    • Previous experience in sales support or coordination, preferably in luxury or jewelry.
    • Advanced proficiency in Microsoft Office Suite.
    • Proactive, collaborative attitude with a drive to contribute to a high-performing team.

    Experience Requirements:

    • 2+ years of experience in logistics and administration.
    • Familiarity with Logicmate (not essential) and major retailer logistics like UPC/EDI.
    • Advanced computer skills.
