    The

    Finance Manager


    supports both Carnegie Museums housed in the Oakland campus, the Carnegie Museum of Art and Carnegie Museum of Natural History.


    Primary responsibilities for this role include:
    Evaluation, interpretation, and implementation of complex financial and accounting concepts or techniques for financial budgeting, planning, and control.
    Accurate execution of financial activities and entries.
    Monthly, quarterly, annual, and ad hoc financial analysis, evaluation of internal cost centers, and variance analysis.
    Supporting the Directors of Finance for each museum in developing and maintaining annual budgets.
    Monitoring and timely/accurate reporting on restricted funding and grants, ensuring funds are spent in accordance with approved award guidelines.
    Tracking revenues and expenditures by funding source for governmental grants along with preparing subsequent billings back to sponsors.

    Serving as a liaison with Carnegie Museums of Pittsburgh's controller and treasury departments, which provide centralized accounting, payroll, and related financial services for the museums.


    EDUCATION AND EXPERIENCE:


    A bachelor's degree with emphasis on business management, finance, or accounting, and a minimum of five years of related work experience is required; an equivalent combination of education and experience is acceptable.

    Experience with non-profit and fund accounting and proficiency with computerized accounting software (preferably Blackbaud Financial Edge) is desired.
    Prior work experience and demonstrated interest in a cultural or educational organization is preferred.
    Must have familiarity with Microsoft Office software, including advanced knowledge of spreadsheet applications.

    KNOWLEDGE, SKILLS, AND ABILITIES:
    Strong organizational and communications skills, analytical problem solving, and ability to gather, analyze and communicate financial data and concepts.
    Experience with non-profit accounting, general ledger maintenance and analytics, and grant reporting are preferred.

    Confidentiality and attention to detail are imperative, along with the ability to initiate and complete projects accurately, on time, and under pressure.

    The successful candidate will be able to thrive in a busy, multi-tasking environment with limited direct supervision.


    PHYSICAL REQUIREMENTS:
    Work is primarily sedentary in nature; no special demands are required.

    ESSENTIAL FUNCTIONS AND ACCOUNTABILITIES:
    GENERAL LEDGER –

    Manage and monitor Museums' general ledger accounts including the coordination and preparation of ad hoc, monthly, quarterly, annual journal entries, and the reconciliation of accounts as assigned.

    Review daily admission revenue reports and prepare related general journal entries.

    In accordance with Carnegie Museums of Pittsburgh's signatory policy and other relevant financial policies/procedures, review and approve financial paperwork such as journal entries, deposits, check requests, invoices, cash advances, and expense reports.

    REPORTING –

    Work in conjunction with Directors of Finance to manage and interpret the accurate and timely development and preparation of monthly financial statements, payroll reporting, statistical reporting, foundation reporting, monthly variance analysis, and other ad hoc reporting for section/department heads.

    Create written analytical review reports of monthly financial statements to ensure adherence to annual and year-to-date budgets.
    GRANTS –
    Work with Directors of Finance to ensure timely and accurate review of proposals including budgets and budget justifications.
    Manage the grant fund processing and account creation for all awarded grants and sub awards.
    Track and monitor grant budget detail and perform monthly reporting and reconciliations.
    Update Principal Investigators monthly on the status of spend versus award.
    Collect, review, and organize effort reporting for salary and fringe transfers.
    Work closely with Manager of Corporate Financial Compliance to prepare and deliver quarterly billings to sponsors.
    FUND MANAGEMENT –
    Work with Directors of Finance to manage and maintain all operating, restricted, and designated fund financial information.

    Periodically review and analyze fund data to meet management's expectations regarding internal fund financial controls and 501(c)3 federal reporting requirements.

    Oversee preparation of journal entries related to these funds on a monthly and as-requested basis.
    FINANCE OPERATIONS –
    Assist Directors of Finance with the periodic analyses to evaluate the efficiency and effectiveness of finance-related procedures.
    Act as a resource for museum staff to navigate and comply with museum and institute financial policies and procedures.
    Maintain accurate and thorough records of financial activity not captured within the accounting software.
    Ensure financial accuracy, minimize risk, and maximize efficiency.
    OTHER –
    Carry out additional projects and duties as requested to improve financial and administrative operations.
    Work collaboratively on the implementation of special projects as needed or assigned.
    Expected starting pay range, based on experience, $54, $68,000.00

    The following PA Act 153 clearances, or proof of application of clearances, are required beginning employment and as a condition of continued employment: Pennsylvania Child Abuse History Clearance Pennsylvania State Police Criminal Record Check FBI Fingerprint Criminal Background Check Obtaining the required clearances is completed as part of the new hire process.
