    We are seeking a highly organized and compassionate Senior Leave of Absence and Accommodation Specialist to join our Human Resources team. This role will be responsible for managing and administering employee leave and accommodation requests and ensuring compliance with applicable laws and company policies across Epsilon U.S. This role requires excellent communication skills, attention to detail, and the ability to handle sensitive and confidential information with empathy and professionalism. The focus of this role is working directly with associates, the HR team, managers, the Publicis Benefits team, and the Publicis Payroll team to manage leaves of absence and accommodations for Epsilon across all U.S. locations.

    Key Responsibilities:
    • Serve as the primary point of contact for employees and managers regarding leave and accommodation inquiries, providing guidance and support throughout the process.
    • Daily contact with associates to conduct intake calls on leave of absence to educate employees on the leave process and to determine the type and duration of leave in compliance with all State and Federal laws.
    • Advise on the leave of absence application process and benefits with associates and HR teams. This includes short and long-term leave of absence (FMLA, medical, maternity, paternity, parental, personal, etc.) based on internal policy and external federal, state, and municipal laws and ordinances.
    • Review and assess employee accommodation requests, ensuring compliance with the Americans with Disabilities Act (ADA), other applicable laws and regulations, and company policies.
    • Coordinate with HR, payroll, and benefits teams to ensure accurate tracking and administration of leave and accommodation requests.
    • Track, document, and manage leave information in the Leave dashboard. Keep leave information up to date and accurate for reporting current and archived leaves.
    • Keep up to date on all state laws related to leave of absence such as state-paid family Leave (CA, CT, CO, HI, MA, NJ, NY, OR, and WA) and other regulations related in other states for sick time use for leave of absence
    • Run reports as needed to update leaders and HR teams requiring leave of absence data and periodically present reports and charts on leave of absence
    • Utilize Career Settings HRIS (SAP) system to maintain up-to-date and accurate records of employee leave and accommodation requests while maintaining confidentiality of sensitive information and ensuring compliance with HIPAA.
    • Communicate with managers on leave notification and approved leave dates
    • Partner and collaborate with HR Business Partners on leave of absence communication and escalated issues.
    • Develop and deliver training and resources for employees and managers on leave of absence and accommodation policies and procedures.
    Experience and Education:
    • Minimum of 5 years of experience in multistate leave and accommodation administration, preferably in a similar role.
    • Bachelor's degree in human resources, Business Administration, or a related field preferred but not required.
    • Certification in HR or related field (e.g., PHR, SPHR, SHRM-CP, SHRM-SCP) preferred.
    Qualifications:
    • Demonstrated knowledge of the leave of absence process and state regulations and laws related to leave of absence, payroll, and employee benefits (such as FMLA, ADA, and other relevant laws and regulations.)
    • Proficient in MS Office computer programs including MS Word and PowerPoint
    • Up to date on state laws related to leave of absence such as State Paid Family Leave (CA, CT, CO, HI, MA, NJ, NY, OR, and WA) and other regulations related to leave of absence in other states and municipalities
    • Experience utilizing HRIS Systems (SAP preferred) and other related systems
    • Strong interpersonal and communication skills, with the ability to effectively and empathetically communicate with employees, managers, and other stakeholders.
    • Excellent organizational and time management skills, with the ability to manage multiple tasks and deadlines in urgent situations
    • Strong problem-solving skills
    • Experience and willingness to implement process improvements.
