- Schedule and coordinate meetings, appointments, and travel arrangements for the executive.
- Anticipate scheduling conflicts and proactively manage the executive's calendar.
- Act as a primary point of contact for internal and external stakeholders.
- Screen and prioritize emails, phone calls, and correspondence on behalf of the executive.
- Draft, edit, and proofread documents, reports, and presentations.
- Organize and maintain digital and physical files and records.
- Plan and book domestic and international travel, including flights, accommodations, and transportation.
- Prepare travel itineraries and ensure the executive's travel needs are met.
- Prepare agendas, materials, and presentations for meetings.
- Attend meetings, take minutes, and follow up on action items.
- Track and manage expenses, reimbursements, and invoices.
- Prepare and submit expense reports in a timely manner.
- Handle sensitive information with discretion and maintain a high level of confidentiality
- Assist in managing special projects, research, and initiatives as directed by the executive.
- Collaborate with other team members and departments as needed.
- Build and maintain positive relationships with colleagues, clients, and partners.
- Act as a liaison between the executive and other staff members.
- Ensure the executive's office runs smoothly by ordering supplies, coordinating IT support, and managing office logistics.
- Bachelor's degree or equivalent experience preferred.
- Familiarity of healthcare terminology.
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Discretion and ability to handle confidential information with integrity.
- Adaptability and ability to work in a fast-paced, ever-changing environment.
- Exceptional problem-solving skills and attention to detail.
