POSITION TITLE: Administrative Support

DEPARTMENT REPORTS TO: FLSA STATUS

Administration Business Office Manager Seasonal

Salary Range: $ an hour

CLASS SUMMARY:

Under supervision of the Business Office Manager, responsible for accurate data entry of accounts payables, including check delivery/mailing and filing. Provides administrative support to the accounting and human resources departments and assists with the preparation of reports and presentations.

ESSENTIAL DUTIES

  1. Provide administrative support to the Accounting department, including accurate data entry of accounts payable using Great Plains software, as well as filing, record preparation, and assistance with records retention.
  2. Provide administrative support to the Human Resources department, including data entry, filing of seasonal paperwork, and organizing files.
  3. Provide administrative support to the Business Administrator, Assistant Director, and Executive Director as assigned.
  4. Assist with packing, sorting, boxing, bagging, and organizing items for relocation.
  5. Utilize Webster, ADP, and Great Plains to collect and analyze data, and produce reports, PowerPoint presentations, and other materials to support administrative needs.
  6. Perform other duties as assigned.

MINIMUM QUALIFICATIONS

High School Diploma, or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

KNOWLEDGE REQUIRED

Knowledge of accounts payables

Great Plains Dynamics Accounting software preferred but not necessary.

Experience with data systems and data entry

Knowledge of ADP payroll software helpful

Experience with Microsoft office, proficient with Excel and Word.

SKILLS REQUIRED

Reading, written communications, and understanding of accounts payable principles and practices.

Accurate data entry and attention to detail.

Strong Math aptitude

Using standard office equipment

Maintaining records and preparing reports

Prioritizing and completing work projects.

Communication, interpersonal skills as applied to interaction with coworkers, supervisors etc., sufficient to exchange or convey information and to receive work directions.

PHYSICAL REQUIREMENTS:

Positions in this class typically require sedentary work, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, hearing, seeing, and repetitive motions. Sedentary work involves maintaining a stationary position. Jobs are sedentary if moving is required only occasionally, and all other sedentary criteria are met. Some work requires stooping, kneeling crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, hearing, seeing, and repetitive motions on wet and uneven terrain. Move and transport up to 50 pounds occasionally and/or use force frequently or constantly to manipulate, lift, carry, push, pull or otherwise move objects. Certain work involves bike riding. Incumbents will be subjected to outdoor work and operation of District vehicles and equipment.    

Incumbents may be subjected to moving mechanical parts, fumes, odors, dust, chemicals and extreme temperatures, intense noise, and travel requires license to operate a motor vehicle.
