    Job Description:

    We are seeking a detail-oriented and experienced Accounts Payable Specialist to join our team at Blue Line Aviation in Winter Haven, Florida. The Accounts Payable Specialist will play a vital role in managing the company's payables process, ensuring accuracy and timeliness in vendor payments. This position offers an exciting opportunity to contribute to the financial operations of a dynamic and growing flight training business.

    Please note - this is an in-office position at our Winter Haven, FL location. This is not a remote position.

    Responsibilities:

    1. Process accounts payable transactions accurately and in a timely manner, including verifying invoices, coding expenses, and obtaining proper approvals.
    2. Reconcile vendor statements and resolve discrepancies or issues with outstanding invoices.
    3. Prepare and process payments to vendors via check, ACH, or credit card, following established payment terms and schedules.
    4. Maintain accurate records of accounts payable transactions, including tracking expenses and payments in the accounting system.
    5. Communicate with vendors regarding payment inquiries, discrepancies, and payment status updates in a professional and timely manner.
    6. Assist in month-end and year-end closing processes, including preparing accruals, reconciling accounts, and providing support for financial reporting.
    7. Collaborate with the maintenance subsidiary to ensure compliance with purchasing policies and procedures.
    8. Assist with vendor management tasks, including setting up new vendors, updating vendor information, and maintaining vendor files.
    9. Stay up-to-date with changes in accounting regulations and industry best practices related to accounts payable processes.
    10. Provide support to the finance team as needed, including participating in special projects and initiatives to improve efficiency and effectiveness.
    11. The Accounts Payable Specialist may be assigned ad-hoc tasks as needed by the finance team. These tasks may include assisting with special projects, providing support during audits, conducting research, or contributing to process improvement initiatives.

    Qualifications:

    Bachelor's degree in Accounting, Finance, or related field preferred.

    3+ years of experience in accounts payable or related accounting roles.

    Knowledge of accounts payable processes and procedures.

    Proficiency in QuickBooks online, Expensify, G Suite, and Microsoft Office.

    Excellent organizational skills and attention to detail.

    Strong communication and interpersonal skills.

    Ability to work independently and collaboratively in a fast-paced environment.

    Experience in the aviation or flight training industry is a plus but not required.
