    Job Title: Executive Office Associate I
    Grade Level/Terms of Employment: 114/260 Days (12 months)
    FLSA Status: Non-Exempt
    Work Location: RPS Central Office
    Immediate Supervisor: Chief

    General Description:
    The Executive Office Associate I provides high-level administrative support to executive leaders and serves as a liaison between senior leadership and key internal and external stakeholders.

    Essential Duties and Responsibilities:
    • Works directly with the assigned Chief to support Office operations including calendaring, scheduling, and various administrative duties
    • Maintains the Chief's calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements
    • Exercises discretion in committing time and evaluating needs
    • Serves as a liaison between the Office and the public by receiving phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution
    • Coordinates work with other executive support staff as needed
    • Provides coordination, monitoring, and communication of projects and programs managed by the Chiefs Office
    • Determines priority of matters of attention for the Chief; redirects matters to staff to handle, or handle matters personally, as appropriate
    • Keeps the Chief advised of time-sensitive and high-priority issues, ensures appropriate follow-up
    • Schedules departmental meetings; assists in the preparation and distribution of meeting agendas and materials
    • Transcribes source material, prepares documents, reports, tables, and charts; distributes as appropriate
    • Maintains confidential and sensitive information
    • Attends meetings and takes notes of discussions when requested; prepares the initial draft of minutes and summaries
    • Performs additional duties as assigned
    Qualifications:
    • Associate degree required; Bachelor's Degree preferred
    • Five years experience in an associate/assistant role
    • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, school leaders/staff, and external partners
    • Strong written and verbal communication skills
    • Experience with Microsoft Office and Google Suite
    • Demonstrated proactive approaches to problem-solving with strong decision-making capability
    • Highly resourceful team player, with the ability to collaborate across offices
    • Proven ability to handle confidential information with discretion
    • Demonstrated ability to adapt to various competing demands, and demonstrate the highest level of customer/client service and response
    • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
    • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with attention to detail
