    ROLE AND PURPOSE: Responsible for ensuring all USDA and TDA compliance records are complete and maintained per state and federal requirements. Receives and makes meal benefit determinations, per USDA regulations, on all student meal applications. Processes and makes economic determination for all received Local Household Income forms. Assists in the annual USDA meal benefits verification process and state PEBT verification process. Serves as the first point of contact for visitors and parents/guardians to Food and Nutrition Services.

    QUALIFICATIONS:

    Education/Certification:

      • High School diploma or equivalent
      • Bilingual English/Spanish required

    Experience:

      • Two years general office experience required. Knowledge of USDA and TDA K-12 meal program preferred.

    Special Knowledge/Skills:

      • Strong communication skills and the ability to work cooperatively with the public, parents, and school officials.
      • Working knowledge of Microsoft Office.
      • Detail oriented and produce accurate work.
      • Strong math and organizational skills.
      • Ability to address internal and external customer concerns in a courteous and respectful manner.

    MAJOR RESPONSIBILITIES AND DUTIES:

    I. INSTRUCTIONAL MANAGEMENT

    • Provides assistance/instruction to parents/guardians in completing meal benefit applications.
    • Provides work application instruction to potential applicants.

    II.SCHOOL/ORGANIZATION CLIMATE

    • Models behavior that promotes a positive organizational climate.
    • Assists in advancing the mission, vision, goals, and strategic plan for the district.
    • Provides effective communication with staff and campus personnel.

    III.SCHOOL/ORGANIZATIONAL IMPROVEMENT

    • Continually look for ways to improve processes/procedures that result in increased efficiency.

    IV. ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT

    • Receives and makes meal benefit determinations, per USDA regulations, on all student meal applications.
    • Responds to program questions and inquires; appropriately escalates issues if needed.
    • Organizes the audit files for department compliance to include but not limited to health inspections, food service establishment records, distribution of Civil Rights posters, and the media release required for federal programs.
    • Collects on-site reviews, parental involvement program documentation, and exempt days data for all schools as needed.
    • Files applications as per the established system and assists with verification of household data.
    • Processing of application data into computer through Nutri-Link / I-Tool & PCS programs.
    • Processes mail folders for distribution to schools on a daily basis.
    • Responds to frequent inquiries from parents and school personnel or directs inquires to the correct person(s).
    • Assists with general office correspondence, memos, manuals, handbooks and forms, etc.
    • Assists in distributing office and TMS supplies for all cafeteria operations.
    • Attends job fairs as needed.

    V. STUDENT MANAGEMENT

    • Ensures the students without ID#'s are processed and eligibility status is communicated to schools. Research data in TEAMS and update the student PCS files as appropriate

    VI.SCHOOL/COMMUNITY RELATIONS

    • Distributes application forms to parents and instructs them in the proper method of completing the application. Checks all applications received to see that they are complete, and that essential information is provided.
    • Handles daily distribution of meal program approval letters to appropriate parties and monthly eligibility listings to each campus administrator and appropriate parties.
    • Generates monthly reports for school student status, homeless, direct certification, migrant and runaway, etc.
    • Collects application information by phone as needed.
    • Communicates with school personnel when an application received through the school mail is incomplete. Communicates with school office personnel when ID numbers are needed for students.
    • Works with the district liaison to approve students who are classified as homeless, foster or migrant for the meal program benefits.
    • Works with parent requests for letters and for information changes.

    • Other projects as assigned by supervisors.
    • Assist all administrative staff with projects as needed.

    X. MENTAL DEMANDS/PHYSICAL DEMANDS/ENVIRONMENTAL FACTORS

    • Tools/Equipment Used: Standard office equipment including personal computer and peripherals
    • Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
    • Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
    • Lifting: Occasional light lifting and carrying (20lbs unassisted and 40lbs assisted).
    • Environment: May work prolonged or irregular hours
    • Mental Demands: Work with frequent interruptions to meet established deadlines; maintain emotional control under stress
