- Maintain annual calendars, outlook calendar, and schedule/coordinate meetings and appointments. Maintain a list of recurring meetings.
- Managing catering needs for appropriate functions.
- Manage Purchase Orders and expense reports for leadership team.
- Arrange travel (airfare, hotels, trains, ground transportation, etc.) reservations per current Travel Policy and Procedures. Prepare travel itineraries and share with team.
- Create and process detailed expense reports and requests for capital expenditures.
- Compose, copy, and distribute routine correspondence, reports, documents, and printed forms.
- Maintain and organize, in a professional manner, personal workspace and shared department spaces such as mail, fax, copy and supply areas.
- Coordinate details of on and offsite department and management team meetings, conferences, and special seminars.
- Assist in preparation of department/corporate presentations by compiling and preparing materials as needed.
- Communicate company policies, procedures and processes as applicable
- 7+ years of experience in a similar role; must have supported 3 or more multiple executives at the same time.
- Superior knowledge of Microsoft Office suite of products (Word, Excel and PowerPoint)
- Highly detail oriented, organized, and skilled in using discretion regarding confidential matters.
- Maintains a positive helping disposition and a stellar work ethic, proactive in anticipating needs, planning and determining next steps
- Performs in a professional manner and maintains competency and a positive attitude in a fast-paced work environment. Works well under pressure
- Ability to work independently, successfully prioritize and manage multiple tasks simultaneously as well as one's own time and the time of others

Position Overview:
This role is responsible for providing administrative support to members of the leadership team.
Main responsibilities include, but not limited to, calendar management, travel arrangements, maintaining communication with, and providing information to internal and external stakeholders, assist with any special projects, and otherwise relieving the executive team of administrative work.
