    Job Type: Full-time

    Pay: $28 - $35 per hour (starting pay will be based on experience)

    Summary
    The goal of the clinical Operations Manager – Mental Health/SUD is to run clinical reports, keep supplies filled and up-to-date, train Mental Health Support Specialists/Clinical Secretaries, do intakes and monitor schedules. They will work directly for the Clinical Director and/or the Program Director, as well as, give guidance to staff in areas they are responsible for. They should be efficient and well-spoken with the ability to create relationships with a diverse population.

    Responsibilities include but are not limited to:

    • Clinical Reporting
    1. Review Limitless and correct issues with UAs. Submit, Fix or Edit Requisitions.
    2. Monitor lab reports in KIPU and notify the Clinical Director of red flags.
    3. Billing gap report.
    4. Check for Overlapping Services.
    5. Work with team to manage unsigned / incomplete notes.
    6. Work with Billing Team to fix issues.
    7. Check attendance tracker hourly and fix errors.
    • Operations
    1. Paid to patient checks.
    2. Contact family members or Clients to collect Paid to Patient checks.
    3. Email and call the primary subscriber on the insurance policy to ensure the correct amounts are sent to Billing.
    4. Manage Food Boxes, making sure they are assembled enough are on hand.
    5. Supply fulfillment: Office, First aid and Mental Health Housing.
    6. Manage client weekly meal plans.
    7. Manage Mental Health Expenses and Receipts.
    8. Bus Pass Management.
    9. Manage Lyft Usage.
    • Intake Management
    1. Monitor Admissions for upcoming Intakes.
    2. Arrange transportation.
    3. Manage Medical H&P Appointment.
    4. Monitor / Process Intake Paperwork.
    5. Manage communication with Admissions.
    6. Manage Mental Health Housing Agreements.
    • Mental Health Support Specialist Direction
    1. Daily summary of tasks for the Mental Health Support Specialist.
    2. Training.
    3. Problem Solving.
    • Medical
    1. Med refills, contact patient insurance and coordinate mail order prescriptions.
    2. Work with family for up-to-date insurance information.
    3. Monitor Medical Appointment times.
    4. Ensure payment methods for client co-payments are provided to pharmacy for medication.
    • Mental Health Support Specialist Duties
    1. UA .
    2. Attendance Tracking.
    3. KIPU Updates.
    4. Client Relationships.
    5. Red Flag Reports.
    6. Office Cleanliness.
    7. Monitor the safe keeping, distribution and compliance of client medications within Supportive Living.
    8. Facilitate client activities within Supportive Living.
    9. Ensure the cleanliness and safety of the Supportive Living facility.
    Qualifications include but are not limited to:
    • Excellent verbal and written communication skills.
    • Knowledge of Mental Health and Clinical terminology, regulations, and Clinical office procedures; knowledge of Clinical coding is strongly desired.
    • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).
    • Positive Problem-Solving Skills.
    • Excellent analytical and time-management skills.
    • Organizational and multitasking skills.
    • Valid California Driver's License.
    • CPR/First AID/Defibrillator required.
    • Mental Health Experience preferred.
    • 1-2 years' experience in the field preferred.
    • Negative TB test results within past year.
    • Ability to pass pre-employment and random drug screenings.
    • Heavy frequency of computer keyboarding.
    • Heavy frequency of viewing a computer monitor.
    • Ability to sit or stand for extended periods of time.
    • Ability to lift up to 35 lbs.
