    We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in South Texas. The ideal candidate will provide crucial administrative support to ensure the smooth and efficient operation of our projects. From managing documentation to coordinating schedules, this role plays a key part in facilitating communication and workflow within our team.     Responsibilities:

    • Answering Phones and Emails: Handle incoming calls and emails, directing them to the appropriate staff members.
    • Scheduling: Coordinate appointments, meetings, and project timelines.
    • Document Management: Maintain and organize project files, contracts, and other important documents.
    • Data Entry: Input project data, financial records, and other information into databases or spreadsheets.
    • Assisting with Bidding Process: Assist with preparing bids and proposals for new projects.
    • Ordering Supplies: Purchase and track office supplies, equipment, and materials as needed.
    • Client Relations: Assist in maintaining positive relationships with clients and subcontractors.
    • Financial Tracking: Assist with invoicing, expense tracking, and budget management.
    • Safety Compliance: Ensure that safety protocols and compliance standards are met and documented.

    Qualifications:

    • High school diploma or equivalent; additional certification or coursework in business administration or construction management is a plus.
    • Proven experience as an administrative assistant or similar role, preferably in the construction industry.
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
    • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
    • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
    • Attention to detail and accuracy in managing documentation and data.
    • Ability to work independently with minimal supervision and collaborate effectively within a team environment.
    • Knowledge of construction terminology, processes, and regulations is desirable but not required (training will be provided as needed).
    • Must have valid drivers license

    • Basic understanding of construction practices, standards, and their impact on project activities.
    • Basic leadership and supervisory skills
    • Effective communication and interpersonal skills
    • Excellent organizational and planning skills

    Certifications:

    Notary Public: Preferred not required.
