    Position Description:

    The Department of English at the University of Louisville wishes to hire an experienced administrative assistant to oversee and coordinate the daily operation of the undergraduate program in English, as well as the undergraduate program in Creative Writing. Core responsibilities include establishing and maintaining student records in digital and print format, scheduling advising appointments, maintaining email correspondence, processing pro-card transactions and scholarships, greeting visitors and students.

    Essential Duties and Responsibilities
    • Establish and maintain student records in print and digital format. Schedule advising appointments, enter permission codes, and lift advising holds. Oversee the English advising email account. Manage the undergraduate email listserv. Coordinate with A&S advising.
    • Collect and archive course descriptions, syllabi, and office hours every semester. Update the department website each semester. Collect and process scholarship applications every year. Create award letters and certificates for scholarship winners. Collect and process SLO artifacts every semester for annual reporting. Work with internship director on updating internship materials.
    • Process pro-card transactions for English, Humanities, Philosophy, History, the Watson conference, and Classical and Modern Languages. Attach receipts, complete business purpose, and add additional documentation. Make purchases within University procurement policies and procedures. Order office supplies and stationary items. Reconcile each pro-card monthly to PNC statement.
    • Prepare travel arrangements for English Department speaker series and other special events.
    • Greet visitors and students. Provide factual information to students, faculty, and the general public regarding programs. Answer and direct incoming phone calls. Receive supplies and distribute to faculty and staff, handle faculty office requests and surplus property, distribute mail. Create PDF scans for faculty when student workers are not present.
    Preferred qualifications:

    Experience in an academic setting with at least two years of experience dealing with students and financials.

    Compensation will be commensurate to candidate experience.
