Job Overview
We are seeking a dynamic and organized Office Assistant to join our team This energetic role is vital in ensuring the smooth operation of daily office functions, providing exceptional customer service, and supporting administrative tasks with enthusiasm. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will be handling multi-line phone systems and supporting the Operations Manager with various tasks to keep our workplace efficient and welcoming.
Responsibilities
- Answering multi-line phone systems with professionalism and courtesy
- Maintain accurate filing systems to support office organization
- Use computer skills to prepare documents, proofread correspondence, and manage scheduling using Microsoft Office and Google Workspace tools
- Handle clerical duties such as photocopying, faxing, mailing, and organizing files to streamline office workflows
- Provide general administrative support including proofreading documents, managing phone etiquette, and supporting customer support efforts
Experience
- Prior office experience or administrative experience is required; familiarity with office management practices is highly valued
- Proven ability to handle clerical tasks such as data entry, filing, and document proofreading efficiently
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks
- Experience working with multi-line phone systems and providing excellent phone etiquette in a professional setting
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Previous roles such as dental or medical receptionist or personal assistant experience are advantageous but not mandatory
- Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently
