    SUMMARY/OBJECTIVE

    The Purchasing Assistant in our Cut & Sew Department plays a pivotal role in supporting all external purchase orders (POs) related to fabric and accessory activities. This individual will be responsible for managing inventory of fabrics, ensuring timely procurement of materials, and maintaining effective communication with suppliers. The ideal candidate will possess strong organizational skills, attention to detail, and a proactive approach to problem-solving. This role will also share inter-department responsibilities aiding with operational responsibilities and finished goods preparation as needed.

    ESSENTIAL FUNCTIONS

    Purchase Order Management:
    • Assist in the creation and processing of external purchase orders for fabric and accessory procurement.
    • Coordinate with suppliers to ensure accurate and timely delivery of materials according to production schedules.
    • Monitor PO status and resolve any discrepancies or issues that may arise during the procurement process.
    Inventory Management:
    • Maintain inventory records of fabrics and accessories, including tracking stock levels and replenishment needs.
    • Conduct regular stock counts and audits to ensure accuracy and minimize discrepancies.
    • Collaborate with production teams to forecast material requirements and optimize inventory levels.
    Supplier Coordination:
    • Establish and maintain strong relationships with external suppliers and vendors.
    • Communicate effectively with suppliers regarding order specifications, delivery schedules, and any changes or updates.
    • Evaluate supplier performance and negotiate terms to ensure cost-effectiveness and quality standards are met.
    Documentation and Record-Keeping:
    • Create blank part numbers for items produced in the Cut & Sew and Leather Departments, ensuring accurate documentation and tracking of manufactured goods.
    • Maintain organized documentation of purchase orders, invoices, and other relevant records.
    • Generate reports and analysis related to purchasing activities, including expenditure tracking and inventory management metrics.
    • Ensure compliance with company policies, procedures, and regulatory requirements.
    Cross-Functional Collaboration:
    • Collaborate closely with internal stakeholders, including Production, Design, and Logistics teams, to support seamless workflow and project execution.
    • Participate in meetings and provide insights or recommendations to improve procurement processes and efficiency.
    Training and Support:
    • Assist as needed in providing guidance and training to other employees on processes related to purchasing, inventory management, and software operation.
    • Share knowledge and expertise to support continuous learning and development within the department.
    General:
    • Must help team meet daily/weekly goals.
    • Maintain a highly organized, detail-oriented, and proactive routine.
    • Maintain a clean and orderly work area and follow safety protocols.
    • Will assist with any additional operational responsibilities as assigned.
    Requirements

    QUALIFICATIONS
    • Previous experience in purchasing, procurement, or supply chain management, particularly within the textile or garment industry, is advantageous.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with inventory management software.
    • Strong analytical skills with the ability to interpret data and make informed decisions.
    • Excellent communication and negotiation skills, both written and verbal.
    • Detail-oriented with a focus on accuracy and quality.
    • Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.
    • Must have a good understanding of inventory management and help keep active and accurate counts of all materials received.
    • Must be able to work well with others and have excellent communication skills.
    • Ability to handle a physical workload.
    • Ability to thrive in a fast-paced environment.
    • Eager to take on responsibility with a personal sense of accountability.
    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is regularly required to stand for prolonged periods of time, some sitting, some walking. Employees will be expected to repeat much of the physical motions throughout the shift that may include use of their feet, legs, arms, wrists, hands and/or fingers. This work will involve a variety of hand operations requiring a high degree of manual dexterity and close visual attention. The employee must be able to carry and/or lift up to 25 lbs. if needed.
