    We are looking for a SCHEDULING MAGICIAN (aka Patient Care Coordinator) to join our administrative team in a busy and growing outpatient multi-specialty clinic that offers physical, occupational and speech therapy services. This position is full-time (40 hours per week) working in our pediatric clinic. By magician, we mean you are capable of masterfully matching the capabilities of our providers with the needs of our while maintaining a positive attitude and cheerful demeanor

    We are requiring at least 1 year of customer service experience - you are the first and last person our patients see when they enter/leave our clinic and we want that encounter to be amazing Our clinic is busy and growing, and needs a multitasker extraordinaire. If you want your days to fly by all while helping our patients meet their therapy goals, then this is the position for you. Pay is dependent on experience and skillset you bring to our company. This is an entry-level position with potential growth opportunities.

    Required:
    • 1 year or more of customer service experience
    • Availability between the hours of 7am and 6pm Monday-Thursday and 7am-4pm Friday; our office is not open on weekends or holidays and overtime is not required (we will devise a 40-hour workweek between these hours with a scheduled lunch break)
    • Ability to multi-task, organize, and stay level-headed at all times
    • Data entry accuracy
    • Competency in multiple computer applications including but not limited to electronic medical records, text applications, Google apps, and VoIP; we need a general comfort with computers and a willingness to learn new things
    • A love of dogs (and people) - therapy and clinic dogs come with the territory so we want to make sure our next team member is aware
    Front Office Responsibilities:
    • First point of contact for clients and referral sources - scheduling initial evaluations quickly upon receiving contact from the patient directly or a referring physician
    • Greeting and welcoming clients into the clinic
    • Answering and making phone calls with client-centered etiquette and poise
    • Scheduling, rescheduling, and modifying appointments and entering appointments into our electronic scheduler - maximizing therapist treatment time and accommodating complex scheduling requests
    • Organizing and maintaining client charts, including scanning documents into the electronic medical record, fulfilling records requests, and answering account questions
    • Registering clients by recording and entering intake information accurately, calling insurance companies and verifying benefits, initiating contact, and scheduling according to specific needs
    • Making sure patients show up for appointments through proactive management and detecting patient attendance trends
    • Keeping statistics related to specific work tasks and outcomes
    • Collecting and processing payments from clients and daily reconciliation of cash report
    • Soliciting referrals from clients - generating enthusiasm from positive experiences our clients have with our company and encouraging them to share with others
