    JOB SUMMARY AND SCOPE

    Front office staff position responsible for all aspects of customer service and chart maintenance.

    ESSENTIAL JOB FUNCTIONS

    1. Utilizes transcription service portal for document management.
    2. Performs required edits as necessary or at physician request.
    3. Monitors for "on hold" documents.
    4. Assembles charts for coding assuring all required documents are present.
    5. Assigns any identified deficiencies to the provider.
    6. Scans paper documents to account using approved naming convention.
    7. Monitors and updates Task Queues
    8. Answers phone and responds to associated customer service requests.
    9. Processes verbal requests for medical records from authorized staff members.
    10. Pulls charts for next day's ASU patients as scheduled.
    11. Picks up Department mail, completed records and documents and distributes within the Department.
    12. Uses Electronic Birth Certificate Software (DAVE) to abstract, print and transmit birth certificates to State office of Vital Statistics within 48 hours of birth (excluding weekends)
    13. Prepares paternity papers as appropriate
    14. Types complimentary birth certificates
    15. Assists Health Information Director in gathering information for special studies
    16. Assists in pulling records for medical record reviews and/or audits
    17. Maintains the Death File.
    18. Assuring deceased patients are removed from active files and placed in Death File
    19. Performs filing, scanning, chart maintenance and other department functions as required
    20. Maintains working knowledge of release of information protocols
    21. Reliable attendance and punctuality, including observing appropriate break times and extending a scheduled shift when necessary to meet patient demands.
    22. Performs duties in a safe manner, in compliance with all safety policies and procedures.
    23. Complies with the Code of Conduct and all appropriate policies and procedures.
    24. Other duties, as assigned, that are relevant to the position and department.

    Requirements

    Experience:
    • High School diploma
    • Previous hospital experience desirable with computer literacy
    • Knowledge of medical terminology helpful
    • Experience with general office equipment: photocopier, fax machine, etc.
    • Detail Oriented
    • Ability to perform in a fast-paced environment and manage time effectively.
    • Ability to maintain the strict confidentiality of patient information in accordance with HIPAA, Maine State law and DECH policy
    • Ability to communicate and cooperate with physicians, co-workers, hospital employees and the public.
