    Duties performed are of a senior secretarial nature supporting Alumni Relations.

    Responsibilities include event registration and support, Gold membership processing, running reports, acting as primary receptionist for Carlin Alumni House and providing office support for thirteen professional administrative staff.

    Required Qualifications

    High school diploma or GED.

    Three years of qualifying experience or a combination of education and experience that equates to three years.

    Experience with Microsoft Word.

    Customer service experience.

    Organizational skills with strong attention to detail.

    Demonstrated positive interpersonal skills.

    Effective verbal and written communication skills.

    Ability to project a positive attitude.

    Ability to manage multiple projects and meet deadlines with accurate results.

    Ability to compose, proofread and edit correspondence.

    Ability to perform the essential functions of the job.

    Preferred Qualifications

    Spreadsheet and/or database experience.

    Knowledge and use of software platforms: Fundraising Performance Management, PeopleGrove, Millennium, Thankview.

    Duties & Responsibilities

    Provides event support including database management, invitations, RSVP's, confirmation letters, and any other correspondence as needed.


    Assists with event creation, including calling venues to find room rental cost, menu details, etc., preparing event bags and swag bags and any other associated tasks for all alumni events and development strategies.

    Creates registration pages and updates website to include event details, codes Alumni events and enters data in Millennium.


    Assists with developing, requesting and updating reports from Millennium; generates event reports, both before the event and after, including details about Major Prospects and VIP's distributes as needed.

    Enters Gold Membership payment information into Millennium; charges all credit cards for event payments and Gold Membership payments.

    Assists with data requests for email and snail mail.


    Manages general communications for the Carlin Alumni House, checking email, answering main phone line and welcoming all guests to the Carlin Alumni House.

    Assists in regular office administration keeping a comprehensive calendar for Advancement Staff and other interested parties.

    Coordinates filing of important documents physically and digitally.

    Provides specialized clerical support when needed for thirteen professional administrative employees.

    Supports College development officers with communications and correspondence when necessary.

    Responsible for ordering office supplies for Advancement.


    Provides support to the Assistant to the Vice President of Advancement and Alumni Relations Executive Assistant with Timelink, Alumni Board, Development Board, meeting arrangements and other duties as needed.

    Supports the Executive Director of Alumni Relations and Constituent Engagement with calendaring, correspondence, and general office duties.

    Other duties as directed.

    Ability to drive a vehicle on behalf of the university.

    Ability to lift up to 50 pounds.
