    Weekly Schedule: Monday-Friday, 1:30pm - 5:30pm.

    NATURE OF WORK:
    Under the administrative direction of the Office Coordinator/Division Manager, this position provides reception/clerical support with an emphasis on tech-savvy skills,including proficiency in Google Docs. The ideal candidate should be able to multitask effectively while maintaining a positive and professional demeanor. This position provides clerical support which includes, but is not limited to, processing program registrations and rental fees, and daily receipts, communicating with users, and processing wheel tax payments, RTA bus passes, Access Evanston applications, including but not limited to Levy Senior Center, preparing deposit batch reports, data entry projects, preparing payroll, providing excellent customer service, as well as providing other routine clerical support as needed. This part-time position requires 20 hours per week.

    ESSENTIAL FUNCTIONS (Specific assignment will include some or all of the following):
    • Provide courteous assistance to customers, whether over the phone or in person by
    • providing information on programs, memberships, social services, and rentals.
    • Respond to inquiries through personal contact, telephone, two-way radio, and electronic
    • mail, forwarding them to the appropriate staff when necessary.
    • Process various transactions and distribute necessary paperwork, such as receipts and
    • invoices.
    • Ensure exceptional customer service for citizens and patrons alike.
    • Handle diverse processing tasks using both general and specialized software (Rec Trac,
    • Passport, etc.).
    • Assist with room reservations and payments.
    • Demonstrate a clear understanding of financial transactions, including audit daily money
    • reports, and registration batches, and prepare bank deposits.
    • Receive payments for programs, events, and services.
    • Maintain records and files related to registration and department functions.
    • Organize and maintain the reception desk and lobby area.
    • Operate office equipment such as desktop computers, cash registers, photocopiers, and
    • other standard office tools.
    • Assist staff with clerical duties, including data entry
    MINIMUM REQUIREMENTS OF WORK:
    • Must possess a high school diploma, GED, or higher education.
    • Previous experience in an office setting or customer service role preferred.
    • Fluency in Spanish is preferred
    Knowledge, skills, and abilities in the following areas:
    • Excellent organizational skills, ability to prioritize, and comfortable working
    • independently.
    • Exceptional oral and written communication skills, including strong spelling, grammar,
    • and punctuation.
    • Fluency in both English and Spanish is preferred for this position
    • Commitment to providing outstanding customer service and strong interpersonal skills.
    • Strong attention to detail.
    • Proficient computer skills, specifically with Google Docs, and ability to operate general
    • office equipment.
    • Ability to multitask effectively.
    • Basic mathematical skills.
    • Ability to greet and interact with the public professionally and courteously.
    • PHYSICAL REQUIREMENTS OF WORK: The ability to work in a primarily sedentary position,
    • occasionally exerting up to 10 pounds of force. Ability to lift, carry, or move objects up to 10
    • pounds frequently.
    PHYSICAL REQUIREMENTS
    The ability to work in a primarily sedentary position, with the ability to occasionally use force to exert up to 10 pounds. The ability to lift, carry or otherwise move objects, books, materials, etc. using up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
    The employee is subject to inside environmental conditions: protection from weather conditions, but not necessarily from indoor temperature changes.
    There are no environmental hazards associated with this classification.

    SUPERVISION:
    Work is performed under the general direction/supervision of the Office Coordinator and Division Manager. Assignments may vary from season to season and day to day. Assignments can be either verbal or written, with the employee determining proper procedure and work methods and is responsible for completing the work according to City work rules and safety regulations. Work is reviewed through ongoing observation, written and verbal communication, meetings and feedback from supervisors and other department employees. Guidance is provided through rules and regulations, policies and procedures, Unified Work Rules, Union Contract, Personnel Rules and OSHA. Work is evaluated at least annually for the safe and skilled operation of equipment, quality of tasks, adherence to work rules, and performance in accordance with this classification standard.

    PUBLIC CONTACT:
    The employee may need to respond to questions and complaints and provide general direction to the general public; the employee has regular contact with other City employees in order to share information and complete work assignments.
