    Our client, VKW Construction is looking for a Construction Project Assistant to support their Construction team in the Phoenix area

    In the Project Assistant role, you will provide organized, consistent, and effective support to the Project Managers, Project Engineers, Construction Management team, and Superintendents. In this position you will need to be versatile, extremely organized, with keen eye to detail and accuracy, ability to multi-task simultaneously, and thrive in a fast-paced environment surrounded by passionate and hardworking individuals.

    The Project Assistant is an integral member of the Construction Team working with the Project Managers/Project Engineers and Superintendents to assist in delivering projects on time and within budget, by prioritizing time sensitive tasks.

    SALARY RANGE is dependent on education, experience, and background.

    JOB RESPONSIBILITIES

    • Process information within specific timeframes in order to maintain efficiency and timeliness of documentation, communication and reporting including weekly project meeting minutes.
    • Pre-Construction coordination.
    • Create, update, and maintain project files in physical/electronic format. Design files and all submittals.
    • Produce, assemble, and track owner contracts, sub-contracts, and change orders.
    • Reproduce and post project documents (plans, specifications manuals, ASIs, RFIs, Submittals, etc.).
    • Obtain, review for accuracy, and track certificate of insurance and job specific safety manual from subcontractors.
    • Manage, create, and respond in a timely manner to numerous emails.
    • Coordinate Inventories, OCIP documentation, Purchase Orders, Permits and Inspections.
    • Communicate relevant project information with the project team and clients to ensure project flow.
    • Manage Outlook calendar and attend meetings.
    • Generate weekly/monthly reports to follow up on missing or unsigned documents.
    • Request, compile, and submit Operation & Maintenance manual/close out documents and Emergency Shut-Down Manual to Owner.
    • Archive project documents for file retention.
    • Handle confidential matters with the utmost discretion.
    • Coordinate with visitors in the office and answer telephone calls in a professional and friendly manner.
    • Other duties as assigned.

    QUALIFICATIONS

    • Minimum of four years' experience as Construction Project Assistant and/or Administrative Assistant.
    • Procore experience is preferred.
    • Coordinate and/or collaborate with other PA's to assure consistency within the department for process and procedures
    • Excellent verbal and written communication skills.
    • Strong level of computer skills in Microsoft Office applications (Word, Excel, Outlook).
    • Self-starter and ability to work independently and in a team environment.
    • Positive attitude, along with maturity and dependability.
    • Ability to remain focused in a challenging and at times chaotic atmosphere.
    • High School diploma or GED required.
    • Associate degree preferred but not required.

    PREFERREDQUALIFICATIONS

    • Experience and knowledge of Construction Industry preferred.
    • Knowledge of AIA contracts and forms.
