- Provide high-level administrative and strategic support to a Managing Director and advisory team
- Manage complex calendars, scheduling, and meeting logistics for client and internal meetings
- Prepare meeting materials, presentations, and client-ready documents
- Capture meeting notes and oversee follow-up actions and deliverables
- Anticipate advisor needs and proactively manage priorities
- Serve as a professional point of contact for high-net-worth and ultra-high-net-worth clients
- Coordinate white-glove client communications and service requests
- Maintain detailed and accurate client records across CRM and custodian platforms
- Support onboarding of new clients and ongoing relationship management
- Help ensure a seamless, concierge-level client experience
- Coordinate account administration such as new accounts, transfers, and maintenance
- Prepare and process documentation related to investments, insurance, and alternative assets
- Assist with reporting, document preparation, and client deliverables
- Liaise with custodians and internal operations teams to resolve issues efficiently
- Communicate with CPAs, estate attorneys, private bankers, and other centers of influence
- Help coordinate multi-party client planning initiatives
- Support documentation and logistics tied to trusts, entities, and complex client structures
- Maintain strict confidentiality and regulatory awareness
- Ensure accurate documentation and data integrity in CRM systems
- Organize digital and physical records for easy retrieval and compliance readiness
- Partner with compliance and operations teams as needed
- 5+ years of experience in wealth management, financial services, or family office environments in the investment space
- Prior experience supporting senior advisors in the wealth management industry
- Active SIE and Series 7 preferred but not required for the right administrative candidate-industry experience is required
- Associate's or Bachelor's degree preferred
- Experience with custodians such as Schwab or First Clearing a plus
- Familiarity with CRM or financial planning tools (e.g., eMoney) helpful
- High level of discretion and professionalism
