    JOB SUMMARY:


    Administrative Assistant position performs specialized, complex, analytical, and confidential paraprofessional functions by providing administrative and analytical assistance requiring independent judgment.

    Works independently on projects as assigned by Planning Director.


    TYPICAL DUTIES:


    Provides backup coverage to operate the online streaming and public participation for public meetings on Monday, Tuesday, and Wednesday evenings from 5:00 PM to 10:00 PM as needed for the Appeal Panel, Board of Adjustment, Historic Preservation Board, and Planning Commission.


    Assists with researching, compiling, and redacting documents requested through the Government Records Access and Management Act (GRAMA) for the Planning and Housing teams.

    Assists with managing and maintaining IT infrastructure.

    Manages Housing Department office budget and perform accounts payable processing and other basic accounting functions.

    Identifies opportunities for process and office management improvements, designs, documents, and implements new systems.


    Provides administrative support to Planning and Housing teams as necessary, including scheduling meetings, maintaining calendars, doing research, providing back-up front desk coverage, and creating presentations and reports.

    Provides all aspects of administrative support as it relates to housing initiatives including programs, policy creation, and development.


    Assists with website updates to ensure pertinent information relating to the Planning Department and Housing Department is relevant, including key projects and initiatives.


    Compiles, monitors, and maintains confidential information such as department information, budget, and personnel information, develops and maintains complex filing systems, and keeps orderly records as assigned.


    MINIMUM QUALIFICATIONS:
    Two-year associate degree from an accredited college or university in a related field.

    Two years' experience with minimal supervision providing para-professional data analysis, recommendations, project administration, staff, and public.

    *Years of experience may be replaced with additional college education in a related field beyond that of an associate degree year for year.


    PREFERRED QUALIFICATIONS:
    Bachelor's degree in a related field.

    Experience working in a public sector organization.


    Two or more years of experience in word processing, spreadsheets, and a typing speed of 60 net words per minute or better.

    Understanding of municipal planning practices and housing programs and available grants.


    WORKING CONDITIONS:
    The employee must occasionally lift and/or move more than 20 pounds.

    Work is performed primarily in a climate-controlled open-office setting.

    Periodic exposure to stressful situations.

    The noise level in the work environment is usually low.

    Occasional non-traditional working hours which may include evening and weekend meetings.
