    Elementary School Secretary

    QUALIFICATIONS:

    Required:
    High School Diploma or GED. Ability to communicate electronically using Word, EXCEL,

    Publisher, Outlook, and Google Docs. Strong office organization and planning skills.

    Preferred:
    Two years of successful secretarial experience.

    Building Principal

    SUMMARY
    Serves as the secretary assisting the administrators in maintaining an efficient school office.

    Essential Responsibilities Other duties may be assigned

    Supplies

    a. Helps maintain and provide adequate supplies for teachers and office areas.

    Secretarial

    a. Prepares correspondence, newsletters, reports, memos, mass e-mails, etc., for administrators.

    b. Maintains the office filing system.

    c. Serves as a receptionist for the main office, visitors, and guests.

    d. Answers the telephone and takes messages.

    e. Helps with the distribution of inter-school and U.S. mail on a daily basis.

    f. Helps operate and maintain office equipment.

    g. Performs clerical work related to the enrollment, transfer, or withdraw of students.

    h. Maintains accurate class and grade level counts.

    i. Prepares enrollment materials, class lists, etc. for teachers.

    j. Maintains student records in a student information system.

    k. Helps supervise students in the office and other areas as needed.

    l. Maintains attendance records for all students.

    m. Maintains student information for testing sites.

    n. Prints progress reports for teachers.

    o. Organizes Kindergarten Round-up (PVE).

    p. Maintains the school website.

    q. Organizes Honor Day, quarterly attendance, and Honor Roll Awards (YES).

    r. Helps maintain a monthly calendar of activities and events for the office.

    s. Helps process forms including required forms.

    Knowledge and Skills

    a. The ability to work independently using Microsoft Word, Excel (including mail merge, formulas, and spreadsheets), Publisher, etc. to prepare , create, edit, design memos, reports, letters, and newsletters.

    b. Highly developed communication and interpersonal skills in order to relate to students, parents, staff, administrators, and community. The ability to negotiate effective working relationships, and develop position resolutions to conflict.

    c. Strong organizational skills in order to manage multiple issues simultaneously combined with ability to effectively prioritize.

    d. The ability to work independently and within a team while maintaining cooperative working relationships.

    e. The ability to communicate electronically. Possess highly developed technology skills.


    SUPERVISORY RESPONSIBILITIES:
    Helps supervises office procedures and in cooperation with the principal establishes a priority of office work.

    MATHEMATICAL SKILLS:

    The ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

    The ability to computer rate, ratio and percent, and to draw and interpret bar graphs.


    REASONING ABILITY:
    The ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. The ability to deal with problems involving a few concrete variables in standardized situations.
