WHAT'S YOUR DAY LIKE?

As an Accounting Technician at Community Youth Ministries, you will play a vital role in supporting the organization's financial operations. In addition to handling procurement tasks, you will also take on accounting assistance duties and oversee inventory across all Expanded Learning Program sites. Your responsibilities will include performing Accounting Technician duties, ensuring compliance with procurement processes, and compiling crucial data for the accounting systems.

WHAT YOU NEED TO BE SUCCESSFUL

To excel in the role of Accounting Technician at Community Youth Ministries, you will need to possess a diverse set of skills. Proficiency in software such as Procurify and Excel is essential for tasks like reviewing the General Ledger and compiling purchasing documents to meet ELOP funding requirements. Attention to detail is crucial when matching vendor information, preparing 1099 forms, and identifying discrepancies in records. Excellent organizational skills will aid you in assisting with General Ledger reporting, reconciliations, and maintaining accurate inventory documentation.

Strong communication skills are necessary for collaborating with various team members, following up on deadlines, and presenting inventory reports at financial reviews. Your ability to track, verify, and update inventory information accurately will contribute to the smooth financial operations of our organization. The knowledge and skills required for the position are:

Receive and review monthly General Ledger from staff Accountant using Aplos and Excel
Compile supporting purchasing documents to comply with ELOP funding requirements
Assist AP / ELP Director by matching vendor W-9 information
Assist AP / ELP Director with the preparation of 1099 forms and update vendor addresses
Note and report discrepancies found in records to the ELP Director
Assist the Finance Manager with monthly General Ledger reporting and reconciliations
File pertinent information to comply with ELOP funding requirements
Verify invoices with proper packing slips, purchase orders, and management approvals
Verify order accuracy on purchase orders, invoices, lesson plans, packing slips, and receipts
Follow up with the Finance Manager and AP / ELP Director to meet deadlines
Tracks the status of all POs and follows up with the Finance Manager and ELP Director to ensure POs close as needed
Review purchases and site general ledger for items needing to be inventoried and communicate with site personnel which items should be added to their inventory report as purchases are made
Maintain accurate documentation of inventory transactions, including purchase orders, receipts, and backup documentation for items needing to be inventoried
Cross-reference site inventory reports to purchases made to ensure inventory is updated regularly
Conduct weekly visits to sites to verify the location, condition, and use of items, ensuring they are found on the on-site inventory list with all other required information (serial number, transaction date, funding source, etc.).
Communicate inventory status, issues, and updates to relevant Directors and Administrators regularly and present inventory reports at monthly financial reviews
Initiate any transfer, disposal, and obsolete forms in line with organizations/district's policy abiding by grant/funding requirements
