    Job Description:

    • Practice Area: Insurance Recovery. (AVOID: Civil Litigation, Medical Malpractice, Asbestos, Toxic Torts, Insurance Defense, Criminal Law, Family Law, Workers Compensation, etc as these would not be relevant.)
    • Experience Required: We are looking for traditional legal secretaries (5+ years) with law firm experience calendaring, making travel arrangements, opening new matters, assisting with conflicts, assisting with billing, and e-filing both in state and federal courts. The ideal candidate would have corporate and litigation experience, but open to someone with just a litigation background and heavy drafting document experience.
    • Other Role Specifics: This will a mix of corporate-type of work that is more document focused including lots of opening of new matters for incoming cases (about 5 weekly), creating shells (litigation work), drafting engagement letters and documents, transcribing handwritten notes, etc. Candidate must be naturally organized and want to be involved in the cases. There will be about 5 attorneys on this desk. Candidates must be able to know the right questions to ask.

    Essential Functions

    • Create, edit, format and proofread documents.
    • Prepare legal documents for e-Filing and filing via PACER.
    • Communicate to and on behalf of the attorneys using firm technology.
    • Prepare new client matter request packets and coordinate approval; coordinate conflict search processes; and prepare retainer letters.
    • Review proformas and edit bills according to client billing arrangement.
    • Enter, track, and coordinate new client/matter information.
    • Edit and coordinate client pitches with Marketing Department.
    • Maintain InterAction and/or Extranet data.
    • Maintain electronic and paper files in accordance with firm guidelines.
    • Maintain and monitor attorney calendars.
    • Coordinate and/or book travel arrangements.
    • Prepare, track, and maintain attorney expenses in Chrome River.
    • Organize and coordinate conference calls and client meetings.
    • Perform other responsibilities as assigned.
    • Work additional hours as needed to fulfill job requirements.

    Skills/Qualifications

    • 5+ years of legal secretarial or assistant experience.
    • Associates degree preferred; Notary Public is a plus.
    • Experience in a legal environment, specifically supporting a transactional and litigation practice. Insurance Recovery experience is a plus.
    • Ability to draft correspondence.
    • Strong communication skills (verbal and written) with the ability to develop positive working relationships (in-person and virtually).
    • Meticulous attention to detail and accuracy.
    • Ability to manage multiple tasks with effective organizational skills.
    • Proven problem solving, critical thinking, and decision-making skills.
    • Ability to receive detailed information through oral and written communication.
    • Ability to read, create, proofread and transcribe documents.
    • Ability to exchange information and receive instructions via phone and email.
