Center for Social Dynamics is currently seeking an Operations Manager to join our dynamic and growing team

About You


The Operations Manager is responsible and accountable for the clinical and administrative operations of an assigned territory. Is expected to work collaboratively with CSD leadership, to provide operational support to the Regional Director and where appropriate an administrative team.

Duties & Responsibilities

  • Adheres to CSD's Commitment to Quality Standards.
  • Assigns cases to clinicians in the region, monitors clinician productivity and determines regional growth capacity based on caseloads. Creates and maintains regional caseload database.
  • Completes all administrative tasks associated with case assignments (e.g., updates EMR system, communicates with families and clinicians, makes new patient welcome call, and informs families of changes to their CL/CD team).
  • Completes all tasks associated with ensuring all scheduled hours, meal breaks, and rest periods are managed and converted in a timely manner (e.g., session conversions).
  • Provides Regional Director with appropriate data to inform opportunities for improvement as they relate to (but not limited to) labor management, growth and quality.
  • Oversees and manage on-boarding of new Clinical Leaders and Clinical Directors. This includes, creating training schedules and ensuring all training is complete within 30 days of the employee's start date.
  • Maintains accurate documentation of trainings completed by new employees and stores in the employee's HR file, upon completion of initial training.
  • Conducts on-going weekly Quality Assurance reviews of client learning trees and treatment programs, to ensure accurate and timely learning tree creation and maintenance by current employees.
  • Maintains record of all learning tree audits completed per employee. Reviews medical documentation notes of new CLIs, CLs and CDs for compliance standards and conducts a weekly audit to ensure all direct appointments include caregiver signatures.
  • Evaluates programs, policies, clinical procedures, and service delivery on an on-going basis, and recommends changes and enhancements, as needed.
  • Collaborates with other administrators to assure consistency of customer contact and service delivery per CSD's Commitment to Quality Standards.
  • Contacts frequently cancelling BSs and caregivers to remind them of the cancellation policy and ensures that make-up hours are completed and cancellations are reduced.
  • Additionally, provides on-going training in the areas of staff management, program implementation and the completion of clinical documentation in compliance with state regulations.
  • Conducts interviews and/or monitors interview processes for clinical candidates and makes hiring recommendations to Regional Director.
  • Maintains billable productivity margins based on the needs of the organization, including high-level and mid-level supervision and assessments. Prioritizes billing for HLS hours on any given month depending on the needs of the organization.
  • Act as a liaison for Behavior Specialists.
  • Additional job duties as assigned

Experience & Qualifications

  • Bachelor's/Master's degree preferred from an accredited college or university in related field preferred or equivalency.
  • 3 years of experience in healthcare or business operations
  • 3 years of experience directly supervising others
  • Systems and financial experience preferred - Process improvement experience preferred.
  • Demonstrates leadership, organizational and administrative skills, knowledgeable and proficient in the use of office equipment and systems.
  • Computer proficient in word processing, database, spreadsheet and Internet software programs.
  • Able to professionally and effectively interact and communicate, verbally and in writing, with volunteers, staff, clients and a public from diverse cultural, socioeconomic, and disciplinary backgrounds. Strong editing skills.
  • Able to work independently and as part of a team, take initiative, prioritize and accurately perform multiple tasks, and efficiently meet deadlines and changing priorities.
  • Able to consistently demonstrate good judgment and decision-making skills.
  • Able to exercise confidentiality and discretion pertaining to the work environment.
  • Able to appropriately interpret and apply policies and procedures.
  • Able to travel, reliable transportation needed (proof of valid driver's license, current auto insurance ID card, and acceptable driving record per company policy).

  • Constant visual stimulation, including close vision, distance vision, reading, computer work.
  • Constant sitting; frequent up and down out of chair.
  • Constant use of telephone, speaking, listening
  • Constant document handling, use of copier and fax machine, filing.
  • Frequent typing, use of computer
  • Occasional walking around building
  • Occasional bending, reaching, stooping, pulling.
  • Occasional lifting, carrying, moving of items up to 20 pounds.
  • Occasional walking to, bending to enter, sitting and using upper and lower limbs to drive car.
