- Managing call forwarding
- Greeting visitors
- First point of contact for job intake
- Accounts payable for vendors (invoicing/credits)
- Create accounts in chart of accounts
- Enter expense reports in Quickbooks
- Issue purchase orders in Quickbooks
- Record Deposits
- Bank and credit card reconciliations
- Profit & Loss and Balance sheets reports
- Maintain filing of accounts payable records
- Create job files for new subcontractors
- Audit and maintain current general liability, worker's comp insurance and licensing on all active subcontractors
- Add new subcontractors into Quickbooks as vendors
- Create lien waivers for subcontractors for payment
- Request COI for required vendor packets by new customers
- Maintain and purchase office supplies
- Maintain break room cleanliness and inventory of supplies
- First point of contact for all jobs received through phone calls and emails
- Responsible for inputting jobs into RMS (companywide program) to distribute to appropriate department
- Maintain rotation log of estimators and assigned projects
- Assign estimators to new repair jobs
- Update and renew company documents
- Contact utilities when problems/issues arise (internet, plumbing, etc)
- Input vehicle service records into Fleetio for each fleet vehicle (tracking/maintenance purposes)
- Take the initiative to complete tasks not originally responsible for
