    Overview

    The studio of a contemporary artist, based in New York City, seeks a full-time accountingassistant/bookkeeper.

    The bookkeeper will:

    • Manage Quickbook files.
    • Manage, prepare, improve, and enforce annual budgets, cash flows, policies, and department controls to increase accuracy and efficiency.
    • Manage multiple entities; manage credit cards and bank reconciliations and digital backups; and manage and review all bills/expenses.
    • Create periodic reports, such as balance sheets, profit & loss statements, income statements, etc.
    • Comply with all company, local, state, and federal accounting, and financial regulations.
    • Compile, analyze, and report financial data to manager. Includes assisting management in the decision-making process by preparing budgets and financial forecasts.
    • Ensure all tax records are correct and current.
    • Ensure all company accounts are accurately reconciled and ensure billing accounts are set up correctly and according to their requirements.
    • Update accounts payable and maintain records for accounts receivable.
    • Assist in audits and general ledger preparation.

    Other tasks include:

    • Managing expense claims, insurance renewals such as health plans, workers comp, etc., filing, and journal entries.
    • Direct coordination is required with employees, outside vendors, insurance brokers, CPA, workers comp, and others.
    • Additional support may include but is not limited to proactively recommending human resource protocols, running errands related to accounting, overseeing mail, and support administrative team.
    • Future responsibilities may include administering payroll on Paychex and overseeing employee benefits.
    • This position is also the main point of contact for general vendors, insurance brokers, workers comp, CPA, and others. The bookkeeper/accountingassistantreports to the studio manager.

    Requirements

    For this position we require at least 5 years of relevantBookkeeping / Accountingexperience.

    We are looking for an individual that is extremely detail oriented with proficiency in Paychex, QuickBooks on Mac and PC, and in Microsoft Office (Excel). Only applicants with 5 years of experience managing QuickBooks software will be considered for this position.

    Applicants should have strong organizational and communication skills with ability to communicate effectively both orally and in writing.

    Position is full-time and on-site.
