    Education / Training
    Description

    Test Administration Manager

    Full-time

    Greeley, CO

This role will require availability of at least two weekends per month, as well as the flexibility to be available to stakeholders in different time zones.

    Who are we?

The National Board of Chiropractic Examiners (NBCE) is the international testing agency for the chiropractic profession. The NBCE develops, administers, and scores standardized exams that assess knowledge, higher-level cognitive abilities, and problem-solving in various basic science and clinical science subjects.

    What do we do?

NBCE exams offer assurance to the general public that a chiropractor, regardless of what school they attended or where they were licensed, has demonstrated a baseline of knowledge as well as ability in diagnosis, diagnostic imaging, principles of chiropractic, associated clinical sciences, and chiropractic practice. Candidates typically take NBCE exams before graduating from chiropractic college. Exam scores are made available to licensing authorities within and outside the United States. In the U.S., all 50 states either accept or require candidates to pass Parts I, II, III, and IV for licensure.

    ROLE SUMMARY:

The Test Administration Manager is responsible for all aspects of test administration including resource development, training, security, and shipping exam materials to ensure the successful administration of all NBCE testing. The Test Administration Manager is also responsible for office operations such as the mail room, supply inventory and ordering, and event planning and coordination

    OVERVIEW OF ESSENTIAL JOB FUNCTIONS:

    · Prepare and manage the department budget using strong data analysis skills to accurately project revenue and expenses for the upcoming year using historical data and other research. Monitor expenditures and approve expenses within the budget.

    · Act as a liaison between the NBCE and Prometric to ensure that accurate testing dates are established for each administration at Prometric Testing Center (PTC) locations for Part I, Part II, Part III, PHT, and all Specialty exams, and at campus sites for Part I, Part II, Part III, and PHT exams. Work closely with Prometric to block seats at PTC locations for areas without campus testing centers and ensure Prometric has the correct number of seats available at each campus location for scheduling.

    · Answer questions regarding exam administration policies for internal clients and review external administration communications for accuracy.

    • Operate postage machine and scale to weigh and affix sufficient postage on each item to be mailed.
    • Prepare or accept shipments in the receiving / loading area.
    • Assist in the coordination of organization events including ordering, event setup and tear down, and vendor coordination.

    · Hire and train test site personnel for Part IV and Computer-Based Testing (CBT) administrations. Travel to campus CBT sites for on-site training, as required.

§ Act as a liaison between the NBCE and the outsourced employment agency to coordinate the hiring of temporary, part-time CBT Head Proctors, and Proctors.

§ Perform yearly review of hourly wages for agency staff and make recommendations to the VP of Administration.

§ Following each test administration, review and process all proctor timesheets, then scan and submit them to the outsourced employment agency.

    · Provide scheduled weekend on-call coverage as the NBCE representative, including one monthly weekend supporting CBT Head Proctors and Part IV administrations concurrently, and one additional weekend per month serving as the on-call representative for Part IV administrations. On-call responsibilities may include providing onsite support, as needed, to address callouts, coverage gaps, or operational issues.

    · Develop, update, and provide all test sites with necessary test administration materials such as manuals for security policies, registration procedures, proctor training presentations, etc.

    · Communicate with test site staff for CBT and Part IV concerning special circumstances such as test accommodations, religious convictions, disciplinary issues, etc., to ensure they understand the operational procedures required for a successful administration

    • Prepare invalidation letters to examinees who have violated an NBCE policy (e.g., brought a cell phone or other electronic device into the testing room).
    • Maintain easily accessible emergency contact information for test site personnel, in addition to having current emergency evacuation plans for each exam test site.
    • Ensure that the most recent NBCE Confidentiality Agreement is distributed and the forms are signed by all test site personnel.
    • Communicate any policy or procedure changes prior to each administration.

    · Work closely with the Examinee & Accommodations Coordinator to ensure all eligible examinees receive appropriate accommodations for all NBCE exams. Assist in communicating with colleges regarding any special circumstances concerning examinees such as test accommodations, religious convictions, disciplinary issues, etc.

    · Coordinate communications with colleges regarding test administration preparations and organizing of the exam test sites (i.e., Test Site Availability Letters).

    • Manage any additional projects assigned by the VP of Administration that directly involve exam administration.
    • Prepare relevant reports and proposals for Board of Directors' meetings and Executive Team meetings.
