Position Overview:
The Payroll Specialist supports the accurate and timely processing of payroll by compiling, reviewing, and maintaining required data in accordance with company procedures and applicable laws. This role ensures payroll records are maintained properly and provides support to employees and internal partners regarding payroll matters.
Essential Job Functions:
- Compile, prepare, and accurately input bi‑weekly timekeeping, payroll, and benefits data.
- Process multi‑jurisdictional payrolls, including pay for new hires, terminations, and employees on leave.
- Audit bi‑weekly payrolls for accuracy and reconcile payroll runs.
- Verify federal, state, and local tax payments, ESSOP contributions, and other payroll‑related withholdings.
- Ensure timely submission of ESSOP, FSA, HSA, garnishments, and other required payments or reports.
- Post payroll entries and accruals to IAS Financial in a timely manner.
- Prepare monthly, quarterly, and annual payroll journal entries.
- Process quarterly tax reports and payments as needed.
- Respond to mandated state and federal notices and verification requests (e.g., VOE, tax levies, garnishments, disability forms).
- Ensure compliance with federal, state, and local wage and hour laws.
- Run payroll and reporting analytics using UKG Business Intelligence and UKG Pro Standard Reporting.
- Provide payroll data and reports to Accounting, HR, and management as required.
- Assist in developing, implementing, and maintaining internal payroll controls, procedures, and documentation.
- Support internal and external payroll audits and assist with process improvements based on audit findings.
- Participate in testing, validation, and process updates as systems or policies change.
- Complete additional duties or special projects as assigned.
Qualifications:
- High school diploma or equivalent required; Associate degree preferred.
- 2–5 years of payroll processing experience required.
- Strong knowledge of payroll practices, procedures, and regulations.
- Excellent written and verbal communication skills.
- Strong analytical skills and high attention to detail.
- Maintains accuracy and productivity when working under tight deadlines or shifting priorities.
- Demonstrated ability to manage multiple tasks and meet deadlines consistently.
- Experience with UKG Pro and UKG Business Intelligence (People Analytics) strongly preferred.
